Full job description

Job Title: Back Office Executive

Key Responsibilities:

Administrative Support:
Managing day-to-day office operations.
Organizing and maintaining files, records, and documents.
Coordinating appointments, meetings, and schedules for the management team.
Inventory Management:
Assisting in managing stock and keeping records of raw materials and finished goods.
Liaising with the production team to ensure timely availability of materials.
Data Entry & Documentation:
Entering and maintaining product data in the system (e.g., fabric types, designs, sizes).
Updating order details, client information, and purchase/sale records.
Customer Support & Order Coordination:
Assisting customers with order inquiries or follow-ups.
Preparing invoices and order forms.
Coordinating between the sales team and the warehouse team to ensure smooth order processing.
Billing and Payment Processing:
Assisting with invoicing and tracking payments.
Managing petty cash and basic financial records.
Communication:
Answering calls, responding to emails, and ensuring smooth internal and external communication.
Telecalling

Make outbound calls to boutiques, retailers, and wholesalers.

Sales Representative
Follow up with existing customers regarding new launches and orders.
Generate leads and convert inquiries into sales opportunities

Qualifications:

Education: High School diploma or equivalent (preferably a graduate in business administration or similar field).
Skills:
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and any relevant office software.
Strong organizational and time-management skills.
Good communication skills (written and verbal).
Attention to detail and ability to manage multiple tasks at once.
Experience: Previous experience in a back office or administrative role is preferred but not essential. Familiarity with the textile or apparel industry would be an added advantage.
Personality Traits:
Responsible, proactive, and able to work independently.
Adaptable and willing to take on various tasks as needed.
