Job Summary
The Logistics Officer is responsible for planning, coordinating, and monitoring the dispatch, transportation, and delivery of finished goods and raw materials. The role ensures timely deliveries, optimal freight utilization, cost control, transporter management, and customer satisfaction while maintaining compliance with company policies and statutory requirements.
Key Responsibilities1. Dispatch Planning & Coordination
- Plan daily dispatches based on sales orders and production availability.
- Coordinate with Production, Stores, Sales, and Transporters for smooth execution of dispatches.
- Ensure timely vehicle placement as per dispatch schedules.
- Monitor loading activities and ensure adherence to dispatch timelines.
- Prioritize dispatches based on customer requirements and urgency.
2. Transportation Management
- Arrange vehicles for local, regional, and interstate deliveries.
- Develop and maintain relationships with transporters and fleet operators.
- Negotiate freight rates to optimize logistics costs.
- Ensure availability of vehicles during peak dispatch periods.
- Track vehicles and monitor transit movement until delivery completion.
3. Documentation & Compliance
- Prepare and verify dispatch documents including:
- Invoice
- E-Way Bill
- Delivery Challan
- LR (Lorry Receipt)
- Transporter Documents
- Ensure compliance with GST and transportation regulations.
- Maintain dispatch records and proof of deliveries (PODs).
- Coordinate with accounts for freight bill verification and processing.
4. Freight Cost Control
- Monitor transportation expenses and freight budgets.
- Analyze freight costs route-wise and customer-wise.
- Identify opportunities for cost reduction and route optimization.
- Prepare monthly logistics cost reports and savings analysis.
5. Customer & Sales Coordination
- Provide dispatch status updates to Sales Teams and customers.
- Resolve delivery-related complaints and transportation issues.
- Ensure customer commitments regarding delivery timelines are met.
- Coordinate urgent and special dispatch requirements.
6. Inventory & Warehouse Coordination
- Coordinate with Stores for product availability and loading plans.
- Ensure FIFO practices where applicable.
- Monitor loading accuracy and prevent dispatch shortages.
- Verify quantities and product specifications before dispatch.
7. Logistics Performance Monitoring
- Track KPIs such as:
- On-Time Delivery (OTD)
- Freight Cost per MT
- Vehicle Utilization
- Transit Damage Percentage
- Dispatch Accuracy
- POD Collection Rate
- Generate daily, weekly, and monthly logistics reports.
8. Team Coordination
- Coordinate with warehouse staff, loaders, dispatch supervisors, and transporters.
- Ensure discipline and adherence to safety procedures during loading and unloading activities.
- Support logistics process improvements and automation initiatives.
Required QualificationsEducation
- Bachelor's Degree in Logistics, Supply Chain Management, Commerce, Business Administration, or related field.
- Diploma/Certification in Logistics & Supply Chain Management preferred.
Experience
- 3–8 years of experience in Logistics, Dispatch, Transportation, or Supply Chain Management.
- Experience in Manufacturing, Pipes, Plastics, Building Materials, FMCG, or Industrial Products preferred.
