Job Summary

We are looking for a highly professional, confident, and result-oriented Executive Personal Assistant who can independently manage the Director's office while handling corporate customers, resolving escalations, coordinating with vendors, and ensuring seamless business operations.

The ideal candidate must possess excellent communication, negotiation, customer relationship management, and decision-making skills. The role requires someone capable of dealing with demanding clients, handling pressure, and maintaining strong professional relationships.

Key ResponsibilitiesExecutive Assistance

Manage the Director's calendar, appointments, meetings, travel plans, and confidential documents.
Draft professional emails, quotations, agreements, MOMs, and business correspondence.
Coordinate with internal departments to ensure timely execution of tasks.
Maintain confidential business information with complete professionalism.

Hardcore Customer Handling & Relationship Management

The candidate must be capable of handling customers independently without requiring continuous supervision.

Responsibilities include:

Handle VIP, corporate, and government clients professionally.
Manage difficult, aggressive, and dissatisfied customers with confidence and diplomacy.
Resolve customer complaints and service escalations promptly.
Negotiate pricing, delivery schedules, AMC renewals, and commercial terms within company policies.
Ensure outstanding customer satisfaction while protecting the company's business interests.
Build long-term business relationships through proactive communication.
Follow up continuously until closure of quotations, purchase orders, payments, and service requests.
Maintain complete ownership of assigned customer accounts.

Sales Coordination

Coordinate with Sales Managers for quotations, tenders, and proposals.
Follow up with customers for:
Quotations
Purchase Orders
Payment Collection
AMC Renewals
Rental Renewals
Service Calls
Maintain daily sales pipeline and customer follow-up reports.
Coordinate with OEMs, distributors, and vendors regarding pricing, stock availability, and deliveries.

Operations Coordination

Coordinate with technical engineers for installations and service delivery.
Ensure timely execution of customer commitments.
Track pending service requests and ensure resolution within SLA.
Maintain communication between customers and internal teams.
