Facility Executive / Coordinator – Soft Services (Corporate Office)Position Title: Facility Executive / Coordinator – Soft ServicesDepartment: Facilities Management / AdministrationLocation: Corporate OfficeReporting To: Assistant Manager – Soft Services / Facilities Manager
Job PurposeTo support and coordinate daily soft service operations within the corporate office, ensuring smooth functioning of housekeeping, pantry, cafeteria, hygiene, employee support services, and vendor coordination while maintaining workplace standards and employee satisfaction.
Key ResponsibilitiesSoft Services CoordinationCoordinate day-to-day housekeeping, pantry, cafeteria, pest control, and office support activities.
Ensure cleanliness and hygiene standards are maintained across workstations, meeting rooms, washrooms, common areas, and pantries.
Conduct regular floor inspections and report observations for corrective actions.
Vendor & Staff CoordinationCoordinate with housekeeping, pantry, and cafeteria vendors for daily operations.
Monitor attendance, grooming, and deployment of support staff.
Follow up with vendors for timely completion of assigned tasks and complaint closures.
Pantry & Cafeteria SupportMonitor pantry consumables and ensure adequate stock availability.
Support cafeteria operations including food service coordination, hygiene monitoring, and employee feedback management.
Ensure proper upkeep of pantry and dining areas.
Complaint Handling & Employee SupportAttend and coordinate closure of employee complaints related to soft services.
Ensure timely response to service requests and escalation handling.
Support meeting room arrangements and office event requirements.
Hygiene & SafetyEnsure hygiene standards are maintained throughout office premises.
Coordinate periodic pest control activities and follow-up actions.
Ensure waste disposal practices are followed as per company guidelines.
Inventory & DocumentationMaintain records of consumables, vendor attendance, complaints, and daily checklists.
Update soft service trackers and operational reports.
Support invoice verification and documentation related to vendors and consumables.
Coordination & ReportingCoordinate with internal teams and vendors for smooth facility operations.
Share daily updates and operational reports with reporting manager.
Assist during audits, inspections, and emergency situations when required.
Desired Candidate ProfileGraduate in any discipline.
2–5 years of experience in soft services, administration, or facility management operations.
Basic understanding of housekeeping and workplace operations.
Good communication and coordination skills.
Ability to handle vendors and employee concerns professionally.
Proficiency in MS Office and email communication.
