Student Counsellor cum Documentation Specialist – Overseas Education

About the Role

YESTE Migration & Education Consulting Pvt. Ltd. is looking for an experienced and passionate Student Counsellor cum Documentation Specialist to join our Overseas Education Division.

The ideal candidate should be able to independently handle the complete student journey – from counselling and course/university selection to application preparation, documentation, admission follow-up and handover to the visa processing team.

We are looking for someone who combines strong counselling ability, excellent communication, documentation accuracy, follow-up discipline and a result-oriented approach.

Key Responsibilities

Student Counselling

Counsel students and parents regarding overseas education opportunities, courses, universities and career pathways.
Understand the student's academic profile, career goals, budget and preferred destination.
Recommend suitable countries, universities and courses based on student eligibility and career objectives.
Explain admission requirements, intakes, tuition fees, scholarships and application timelines.
Handle walk-in, telephone and online enquiries professionally.
Build trust and maintain strong relationships with students and parents.

Application & Documentation

Manage end-to-end university/college application processing.
Review and verify academic certificates, transcripts, passport, CV, SOP, LOR, financial and other supporting documents.
Identify missing, inconsistent or incorrect information and coordinate with students for corrections.
Prepare application checklists and ensure documents are complete before submission.
Complete and submit university applications accurately within deadlines.
Track application status, conditional/unconditional offers and pending requirements.
Maintain proper records of every student application.

Follow-up & Admission Conversion

Conduct timely and consistent follow-ups with prospective and existing students.
Follow up for pending documents, application requirements, offer acceptance, fee payments and other admission formalities.
Convert qualified enquiries into registrations/applications/admissions through effective counselling and follow-up.
Ensure students are regularly updated regarding their application progress and deadlines.

University & Internal Coordination

Coordinate with universities, institutions, admission teams and internal departments.
Maintain up-to-date knowledge of partner universities, courses, intakes and admission requirements.
Coordinate smooth handover of admitted students to the Visa Documentation Team.
Escalate complex cases or documentation issues to the appropriate senior team member.

CRM & Reporting

Maintain accurate student records and follow-up activities in Zoho CRM/company systems.
Update counselling details, application status, follow-ups and student interactions on time.
Ensure no assigned lead or student application is left unattended.
Prepare daily/weekly reports as required by the management.

Destinations

Knowledge of one or more major study-abroad destinations such as Australia, UK, Canada, Ireland, New Zealand, USA, Germany and other European destinations will be an advantage.

Candidate Profile

We are looking for someone who has:

2–5 years of relevant experience in Study Abroad / Overseas Education / Student Counselling / University Admissions.
Strong student counselling and convincing skills.
Excellent spoken and written English.
Strong documentation and application-processing skills.
Excellent attention to detail.
Strong follow-up and coordination skills.
Good knowledge of overseas university admission procedures.
Ability to understand student profiles and recommend suitable study pathways.
Ability to handle multiple student applications simultaneously.
Good computer skills and familiarity with CRM systems; Zoho CRM experience is an advantage.
Strong interpersonal and relationship-management skills.
Target-oriented and accountable approach.
Ability to work independently as well as collaboratively within a team.

Qualifications

Bachelor's degree or equivalent qualification in any discipline.

Relevant experience in overseas education, international admissions or student counselling will be given preference.
