Job Description – Receptionist

Job Title: Receptionist
Department: Administration
Reporting To: HR & Administration Manager

Job Summary

The Receptionist is responsible for managing the front desk, welcoming visitors, handling incoming calls, and providing administrative support to ensure the smooth day-to-day operation of the office.

Key Responsibilities

Greet and welcome visitors, clients, and employees in a professional manner.
Answer, screen, and direct incoming phone calls.
Maintain the visitor register and issue visitor passes as per company policy.
Receive, sort, and distribute incoming mail, couriers, and deliveries.
Coordinate outgoing couriers and maintain dispatch records.
Keep the reception area clean, organized, and presentable.
Schedule and manage meeting rooms for internal and external meetings.
Provide administrative support, including filing, scanning, photocopying, and data entry.
Maintain office contact lists and update employee directories.
Assist HR with onboarding formalities and employee document collection when required.
Coordinate with housekeeping and facility teams to ensure a pleasant office environment.
Monitor and maintain office stationery and reception supplies.
Handle basic inquiries from visitors and employees and direct them to the appropriate department.
Perform any other administrative duties assigned by the management.

Qualifications

Bachelor's degree or equivalent.
1–3 years of experience as a Receptionist, Front Office Executive, or in a similar role.
Freshers with good communication skills may also apply.

Required Skills

Excellent verbal and written communication skills.
Pleasant personality with a professional appearance.
Strong customer service and interpersonal skills.
Proficiency in MS Office (Word, Excel, Outlook).
Good organizational and multitasking abilities.
Ability to work independently and maintain confidentiality.

Working Hours

10.00 am to 7.00 pm

Salary

As per company standards and experience.
