Job Summary

We are looking for a proactive and organized Office Administrator & Project Coordinator to support day-to-day office operations and coordinate software projects. The ideal candidate will act as a bridge between clients, developers, sales teams, and management to ensure smooth communication and timely project execution.

Key Responsibilities

Project Coordination

Coordinate with clients to collect project requirements and clarifications.
Schedule meetings and follow-up discussions with customers.
Track project progress and maintain status reports.
Coordinate with developers and support teams to ensure timely completion of tasks.
Follow up on pending deliverables and escalate delays when necessary.
Maintain project documentation and update internal project management systems.

Client Communication

Act as the primary coordination point between clients and internal teams.
Provide regular project updates to customers.
Maintain records of client communications and project discussions.
Ensure timely response and resolution of client queries.

Administrative Responsibilities

Prepare and maintain quotations, proposals, and project-related documents.
Coordinate invoicing and payment follow-ups with customers.
Maintain company records, files, and documentation.
Manage meeting schedules, appointments, and internal coordination activities.
Coordinate with vendors and service providers when required.

Requirements

Bachelor’s degree in any discipline.
1–3 years of experience in administration, project coordination, customer support, or a similar role.
Strong communication and interpersonal skills.
Good organizational and multitasking abilities.
Proficiency in MS Office and Google Workspace.
Ability to coordinate effectively with multiple stakeholders.
Experience in software, IT, or ERP-related companies will be an added advantage.
