Operations Manager—All Black Limo LLC

Gig Harbor, WA (Remote) | Full-time | Salary to be negotiated.

All Black Limo LLC is a premium chauffeured black car service operating across Seattle, Tacoma, Bellevue, and the Puget Sound since 2014. We provide airport transfers, cruise terminal transfers, corporate travel, weddings, and medical transportation—with in-house chauffeurs, a 12-year zero-incident safety record, and BBB A+ accreditation. Our Google Ads campaigns are generating over 250 bookings per month, and our organic search traffic has grown 800% this year. We are a small team moving fast, and we need an operations manager to run the daily center of the business.

This is not a passive coordinator role. You will manage the inbox, assign tasks to the marketing and SEO team, take phone calls from unhappy clients, reach out to potential partners, and make sure nothing falls through the cracks. You report directly to the owner.

WHAT YOU WILL DO

Manage the business email inbox—respond to client inquiries, vendor messages, and partnership requests the same day
Assign and track daily tasks for the SEO, Ads, Social Media, and Development team members using Slack and GoHighLevel
Take phone calls from unsatisfied clients—de-escalate, resolve, and follow up professionally
Reach out to hotels, corporate travel managers, event planners, medical facilities, and cruise agencies for referral partnerships
Monitor GoHighLevel CRM—keep the pipeline current, and follow up on every open lead within 48 hours
Use Claude (AI) and GoHighLevel automation daily to draft communications, research partners, and build reports
Send a weekly operations summary to the owner every Friday—what was shipped, what is pending, and what is blocked
Support team onboarding, process documentation, and day-to-day problem solving

WHAT WE REQUIRE

Clear, neutral spoken English—this role involves daily phone calls with US clients, including complaint handling. We cannot accommodate strong accents that reduce comprehension on phone calls.
3+ years in operations, office management, or executive assistant work—preferably in a service, hospitality, or logistics business
Experience managing a small team—assigning tasks, following up, holding people accountable
CRM experience—GoHighLevel preferred, or equivalent platform
Active AI tool user—you already use Claude, ChatGPT, or similar tools in your daily work. If not, you must be ready to learn immediately.
Strong written English—professional, accurate, and clean. Your emails go out under the All Black Limo name.
Available during India Standard Time business hours (7 PM – 7 AM)

WHAT WE PREFER

Malayalam speaker—preferred but not required
Experience in luxury transportation, hospitality, or premium service
GoHighLevel specifically
B2B outreach or partnership development experience
Familiarity with Google Ads and SEO reporting (you do not run campaigns—you just need to understand the vocabulary)

Note: We will provide GoHighLevel and Claude training. Proficiency in both is expected within 30 days. We will prioritize candidates who are already active AI users.
