Associate — HR, Admin & Client Success Telosa · Baner, Pune · On-site, 5 days/week · Full-time · 1+ year experience Reports to: Founder & CEO

About Telosa

Telosa is an AI-powered customer experience platform for multi-location brands — reputation, listings, lead capture, AI resolution and marketing in one dashboard. We work with enterprise clients across India, MENA and Southeast Asia. Small team, fast decisions, direct exposure to how a company gets built.

The role

This is the founder's support role for everything that keeps the company running — people, office, compliance — plus the coordination behind client renewals and the quality of what leaves Telosa in writing. It suits someone early in their career who is organised, versatile, and wants range rather than a narrow lane. You will learn by sitting close to the founder and being the person things route through.

What you'll do

Human Resources

Coordinate hiring: post roles, source through portals and consultants, do first-level screening calls, schedule interviews, and follow up with candidates through offer and joining.
Run onboarding — documentation, appointment letters, induction, asset handover, first-week experience — and handle exits with the same care.
Maintain employee records, attendance and leave data; prepare the monthly payroll input for the founder's review.
Keep HR policy documents current and be the first point of contact for everyday employee queries.
Organise team events, the festival and birthday calendar, and review scheduling.

Administration & Office

Run the Baner office day to day: facilities, housekeeping, IT assets, supplies, vendor coordination and AMC renewals.
Track statutory and compliance paperwork, registrations, insurance and licence renewals; coordinate with the CA and external consultants.
Process invoices, reimbursements and petty cash; support finance on collections follow-up.
Arrange travel, accommodation and visa paperwork for the team.

Client Renewals — coordination

Maintain the master contract tracker: every client, value, renewal date and notice period, always current.
Flag renewals 60–90 days ahead and pull together the account's usage and outcome data with the customer success and product teams, so the founder walks in prepared.
Push renewal documentation through to signature and track receivables against it.
Raise early warning signs — client gone quiet, delayed payment, dropped usage.

External Communications

Draft and manage correspondence going out under the founder's name: client and partner follow-ups, meeting notes, action trackers, investor update inputs.
Manage the founder's calendar and prepare briefing notes ahead of external meetings.
Own the shared inboxes and coordinate outbound comms with the marketing team.
Keep decks, proposals and templates versioned and presentable.

What we're looking for

1+ year of experience in HR, executive assistance, business operations, client servicing or a similar coordination role. Strong internship experience counts.
High ownership. Chases things to closure without reminders, keeps confidences, and holds several unrelated threads in a day without dropping any.
Genuinely strong written English. You will be drafting on behalf of the founder; the writing has to land without correction.
Graduate in any discipline; an MBA/PGDM in HR is welcome but not required.
Comfortable with Excel/Google Sheets, PowerPoint and business email, and quick to pick up new tools.
Presentable and composed with senior external stakeholders — clients, investors, partners, vendors.

Nice to have

Exposure to payroll, statutory compliance or contract administration.
Experience in a B2B SaaS, startup or agency environment.
