JOB SUMMARY
The Process Coordinator is a critical role within the Newage operating structure. This person is responsible for monitoring, tracking, and reporting on the day-to-day movement of company processes — ensuring that every system, tracker, and workflow assigned to them is running as it should.
Every business runs on processes. At Newage, these processes have to move every day — and someone has to make sure they do. The Process Coordinator is that person. They do not execute the work themselves. Instead, they watch the work, check the trackers, identify where things are on track and where they are not, and report clearly and on time — every single day.
A Process Coordinator may be assigned to one or more processes depending on the needs of the business. Their value lies in making sure nothing drifts, nothing falls silent, and no problem is missed before it causes damage. This is a role built on discipline, consistency, and attention to detail.
Why This Role Matters
1. Processes only work when someone is actively watching them — every day.
2. Problems are easiest to fix when caught early — not after the damage is done.
3. Daily monitoring gives management a clear, real-time picture of how the business is running.
4. The Process Coordinator is the person who makes sure nothing important goes unnoticed.
KEY RESPONSIBILITIES
1. Monitor all assigned process trackers on a daily basis and confirm that each one is active, updated, and moving as expected.
2. Complete and submit a clear daily monitoring report covering the status of every assigned process — what is on track, what is delayed, and what needs attention.
3. Identify any process that has stopped, stalled, or is not being updated, and flag it immediately to the relevant team lead or manager.
4. Track the movement of tasks across assigned workflows from start to completion, ensuring no task is left unresolved or unaccounted for without a clear reason.
5. Coordinate with process owners and team members to follow up on outstanding items and confirm that pending actions have been completed.
6. Maintain accurate records of daily monitoring activity so that management has a clear, reliable view of operational health at all times.
7. Support the preparation of weekly and monthly process health summaries, highlighting recurring issues, patterns, or areas that need improvement.
8. Ensure all trackers and reporting tools assigned to you are kept clean, current, and consistent — no outdated data, no missing entries.
9. Escalate any issues that cannot be resolved at coordination level to the appropriate manager promptly and clearly.
10. Participate in regular operations reviews and provide accurate, factual input on the status of the processes you are monitoring.
11. Suggest improvements to tracking tools or reporting formats when a better or simpler method is identified.
12. Adapt to new processes as the business grows — take on additional trackers or workflows as assigned and maintain the same standard of daily monitoring.
