Full job description

Location: Urbtech Trade Centre, Sector 132, Noida (office-based, with regular outdoor work in Delhi NCR)

Reports to: HOD – Operations & Finance

Works closely with: Accounts (invoicing), EA to MD (travel & calendar), HOD Ops for purchases and process

Purpose of the role

CRA Realtors is India's fastest-growing retail mall leasing consultancy — 200+ malls, 50+ cities, 300+ brands. As deal volume grows, the back office needs one dependable owner for the everyday running of the office: purchases, travel, banking runs, invoice tracking and records.

This role exists so that senior team members are freed from routine admin, and so that every invoice, purchase and trip is recorded, tracked and closed without being chased.

Key responsibilities1. Office administration & purchases

Handle small purchases for the office — pantry supplies, stationery, consumables, minor equipment
Maintain a monthly purchase register with bills, approvals and vendor details
Get quotes, compare vendors and negotiate for recurring items
Coordinate office jobs such as the annual diary/planner printing, branded stationery and gifting
Coordinate photo/video/drone shoots — vendor booking, permissions, site logistics, follow-up on deliverables

2. Travel desk

Manage all official travel for the MD and team — flights, trains, hotels, cabs, visas where needed
Book on approved budgets; keep itineraries and confirmations organised and shared in advance
Maintain a travel log and reconcile travel expenses against bills every month
Build relationships with preferred travel vendors for better rates and faster changes

3. Accounts & invoicing support

Assist Accounts in preparing brokerage invoices, proforma invoices and covering emails as invoicing volume grows
Record every invoice raised in the invoice register / MIS sheet — client, mall, brand, amount, GST, date, status
File invoices, agreements and payment proofs in the correct client/mall folders (physical and shared drive)
Track receivables status and update the MIS on receipts, part-payments and TDS
Prepare simple reconciliations and summaries when asked by Accounts or the HOD

4. Outdoor work — banking and site

Bank visits: cheque deposits, DDs, bank documentation, KYC and account paperwork
Site visits when required — document pickups/drops at malls, brand offices or developer offices; agreement signing coordination; shoot supervision
Government/statutory office visits when required (RERA, GST, notary, courier of originals)

5. Records & MIS

Keep all registers current: purchases, travel, invoices, outdoor visits
Weekly update to the HOD on pending items — open purchases, unreconciled travel, invoices awaiting payment
Ensure folders (Drive + physical) follow CRA's naming and filing conventions

Candidate profile

Experience: 2–5 years in office administration, accounts support, travel desk or back-office roles. Real estate, consulting or professional services background is a plus.

Education: Graduate (B.Com preferred). Basic knowledge of GST and TDS on invoices is an advantage.

Must-haves

Comfortable with Excel / Google Sheets — registers, lookups, basic formulas
Working knowledge of invoicing, GST fields and payment tracking
Own two-wheeler and willingness to travel across Delhi NCR for banking, site and courier work
Spoken and written English + Hindi — must handle vendor and client-office coordination confidently
Organised, follows up without being reminded, keeps records clean

Good-to-haves

Exposure to Tally / Zoho Books / any accounting software
Experience coordinating vendors — printers, travel agents, photographers
Familiarity with Noida / Delhi NCR malls and commercial offices

Attitude we look for: Ownership over instructions. Someone who closes loops — a task given is a task tracked till done, and reported back without being asked.

What success looks like (first 90 days)

All purchases, travel and outdoor visits logged in registers — zero missing bills
Every invoice raised is recorded and filed the same day; MIS is never more than 1 day behind
Travel bookings done within 24 hours of request, within budget, with confirmations shared
Weekly pending-items summary sent to the HOD every Monday
