Job description - Events Operations Specialist / Corporate Events Manager

Job location: Chennai

Job Summary: Frutta is looking for a detail-oriented and proactive Event Operations Specialist / Corporate Events Manager to manage the logistics, coordination, and seamless execution of high-impact B2B corporate events, including conferences, workshops, networking events, and more. The ideal candidate will work closely with internal stakeholders, vendors, and clients to deliver events that align with business objectives, brand standards, and budgetary goals.

Responsibilities:

1. Event Logistics & Execution:

Plan and execute all operational aspects of physical and hybrid B2B eventsvenue setup, AV, registration, and guest management.
Collaborate with internal teams to build detailed event execution plans and timelines.
Coordinate onsite logistics for flawless event delivery including check-ins, material distribution, event setups, and attendee engagement.
Troubleshoot issues during setup and live execution to ensure smooth event flow.

2. Vendor Management:

Liaise with vendors, production partners, and suppliers to ensure timely delivery of services.
Maintain and update a vendor database with performance reviews, rates, and project history.
Obtain competitive quotations (minimum of three) for all services and negotiate best pricing to optimize event profitability.
Track deliverables and quality of services rendered by vendors to ensure alignment with expectations.

3. Cost & Budget Management:

Prepare and manage cost sheets, procurement budgets, and event-related financial documentation.
Implement cost-saving measures while maintaining output quality.
Coordinate with accounts for invoice processing and ensure timely vendor payments.
Maintain expense documentation to support financial audits and internal reviews.

4. Post-Event Processing:

Collect and analyze event feedback from stakeholders and attendees.
Prepare post-event reports covering key insights, cost analysis, vendor performance, and execution gaps.
Ensure availability of all bills, payment proofs, and supporting documentation for audit purposes.

5. Stakeholder & Cross-Team Collaboration:

Work closely with client servicing, marketing, and production teams to align event execution with strategic goals.
Support internal communications around event updates, deliverables, and post-event follow-ups.
Regularly share progress reports with the Production Manager and Events Head.

6. Technology & Systems Implementation

Operate event technology platforms for registration, attendee tracking, and engagement.
Ensure adherence to standardized systems and documentation procedures.
Prepare reports and updates in prescribed formats and submit within required timelines.

Qualifications:

● Graduate/Postgraduate in Event Management, Hospitality, Business, or a related field.

● 7+ years of experience in event logistics, operations, or production, preferably in B2B or corporate

● Strong vendor management and negotiation skills.

● Excellent multitasking abilities with a sharp attention to detail.

● Proficiency in using event management tools, registration platforms, and reporting templates.

● Good communication and teamwork skills.

● Proactive problem-solving mindset with the ability to perform under pressure.
