Job description:

Position: Executive Assistant to CEO

Location: Thiruvananthapuram, Kerala
Employment Type: Full-Time
Department: CEO Office / Management Office
Qualification: B.Tech / Bachelor’s Degree in Engineering or a relevant discipline

About the Role

We are looking for a highly organized, analytical, and proactive Executive Assistant to the CEO to support the CEO in project coordination, data analysis, management reporting, and strategic follow-up.

The ideal candidate will have strong expertise in MS Excel, project management tools, data analytics, AI-enabled productivity tools, and executive dashboard development, along with the ability to work effectively with senior management and cross-functional teams.

Key Responsibilities

Provide comprehensive executive and analytical support to the CEO.
Track and monitor strategic projects, initiatives, milestones, deliverables, and timelines.
Coordinate with various departments to ensure timely execution and closure of assigned tasks.
Prepare high-level MIS reports, management reports, dashboards, presentations, and analytical summaries for the CEO.
Analyze business and operational data to identify trends, performance gaps, risks, and opportunities.
Develop and maintain executive dashboards and KPI tracking reports.
Maintain project trackers and provide regular updates on project status, pending actions, and critical deadlines.
Follow up with concerned stakeholders on action points arising from management meetings.
Assist in preparing management presentations, business review reports, and strategic analysis.
Utilize AI tools and advanced data analytics techniques to improve reporting, analysis, and productivity.
Support the CEO in special projects, business reviews, research, and strategic assignments.
Maintain confidentiality of sensitive business and management information.
Perform other responsibilities and special assignments entrusted by the CEO.

Required Skills & Competencies

Advanced MS Excel skills, including Pivot Tables, Power Query, advanced formulas, data analysis, and dashboard creation.
Strong knowledge of AI tools and AI-assisted data analytics.
Proficiency in MS Project or Primavera.
Strong project tracking and project management skills.
Experience in developing executive dashboards, MIS, and KPI reports.
Strong analytical and problem-solving abilities.
Excellent communication and presentation skills.
Strong organizational and time-management skills.
Ability to work with senior management and coordinate effectively with multiple departments.
High level of attention to detail and accuracy.
Ability to handle confidential information with professionalism and discretion.

Educational Qualification

B.Tech / Bachelor’s Degree in Engineering or an equivalent qualification.
Additional certification in Project Management, Data Analytics, Advanced Excel, or Business Analytics will be an added advantage.

Experience

Prior experience in Executive Assistant, Project Management, PMO, Business Analytics, Management Reporting, or CEO Office support is preferred.
Candidates with proven experience in project tracking, data analysis, executive reporting, and dashboard development will be given preference.

The ideal candidate should be proactive, analytical, technology-savvy, highly organized, and capable of working independently with senior management. The candidate must be able to convert complex data into clear management insights and ensure effective follow-up and execution of strategic initiatives.
