Assistant to Director / Business Owner

Location: Johari Bazar, Jaipur
Experience: 3–5+ Years
Employment Type: Full-Time

About the Role

We are looking for a highly organized, responsible and proactive Assistant to Director / Business Owner.

This is not a routine secretarial position. The Assistant to Director will work closely with the Director and act as a key coordination and follow-up person across the organization.

The ideal candidate should be excellent at follow-ups, task tracking, coordination, documentation, scheduling and ensuring that commitments are completed on time.

Key Responsibilities

Manage the Director’s calendar, appointments and daily schedule.
Maintain and track the Director’s task list and priorities.
Follow up with employees and departments on tasks delegated by the Director.
Ensure pending work is regularly followed up until completion.
Coordinate meetings and prepare agendas where required.
Record and circulate Minutes of Meetings and track action points.
Manage calls, messages and routine communication on behalf of the Director.
Screen and prioritize matters requiring the Director’s attention.
Coordinate with vendors, customers, employees and other stakeholders where required.
Handle confidential business and personal information professionally.
Organize documents, reports, information and follow-up lists.
Assist the Director with travel planning, bookings and other administrative requirements.
Support the Director in personal administrative tasks where required.
Help reduce interruptions and enable the Director to focus on business growth, strategy and important decisions.

The Most Important Part of the Role

Follow-up. Follow-up. Follow-up.

The person should be comfortable continuously following up with different team members, getting status updates, maintaining pending lists and ensuring work reaches closure.

You should be polite but persistent and should not hesitate to ask:

“What is the status?”
“When will this be completed?”
“What is the next action?”

Candidate Profile

We are looking for someone who:

Has preferably 3–5+ years of experience in a Personal Assistant, Coordinator, Administrative Assistant, Management Assistant or similar role.
Has excellent follow-up and coordination skills.
Is highly organized and systematic.
Has strong written and verbal communication skills.
Is comfortable dealing with senior management as well as junior employees.
Can maintain confidentiality and exercise discretion.
Is good with MS Office, Excel, email, calendars and basic documentation.
Can create and maintain task trackers and follow-up sheets.
Is mature, dependable and stable.
Can work independently without requiring constant supervision.
Has a positive attitude and is willing to learn.
Is firm enough to get work completed while remaining courteous and professional.
Preferably lives within a reasonable commuting distance from the office.

Who Should NOT Apply

This position may not be suitable if you:

Are uncomfortable following up repeatedly.
Prefer waiting for instructions instead of taking initiative.
Find it difficult to coordinate with multiple people.
Do not enjoy structured, detail-oriented work.
Are looking only for a conventional receptionist or secretarial role.

What Success Looks Like

A successful Assistant to Director will gradually become the Director’s right hand for coordination and execution.

Your success will be measured by:

Fewer pending tasks.
Better follow-up across the organization.
Meetings and commitments happening on schedule.
Better organization of the Director’s time.
Reduced unnecessary interruptions for the Director.
Tasks getting completed without the Director personally chasing everyone.

Compensation

Salary will be commensurate with experience and capability.

Candidates with strong coordination experience and exceptional follow-up skills will be preferred.
