Full job description

Job Summary:

We are seeking a detail-oriented Senior Back Office Executive to serve as the operational backbone of our heavy fabrication facility. This role bridges the gap between our production floor (300+ laborers), the finance department (4 Accountants), and senior management. You will oversee critical documentation for Tank Vessel and ISO Container manufacturing, ensure seamless data flow for a ₹160 Cr+ turnover operation, and support compliance and logistics.

Key Responsibilities

1. Operational & Technical Documentation (Heavy Fabrication Focus)

Production Data Management: Maintain accurate digital records of daily fabrication progress (cutting, fit-up, welding, painting) for Pressure Vessels and ISO Containers.
Quality & Inspection Coordination: Manage documentation for Third-Party Inspections (TPI). Ensure Material Test Certificates (MTCs), Stage Inspection Reports, and Release Notes are filed and ready for client audits.
Job Card & BOM Tracking: Enter and track Bill of Materials (BOM) consumption against specific job numbers to assist in accurate project costing.

2. Finance & Accounts Coordination (Liaising with 4 Accountants)

Vendor & Purchase Reconciliation: Collate GRNs (Goods Receipt Notes) from the store and match them with purchase orders/invoices before passing them to the accounts team for payment processing.
Invoicing Support: Prepare dispatch documents (E-way bills, delivery challans, packing lists) and ensure they align perfectly with client purchase orders to prevent payment delays.
Expense Verification: Verify petty cash vouchers and site expense claims from the fabrication floor before submission to the finance department.

3. Labor & HR Administrative Support (300+ Workforce)

Attendance & Payroll Data: Consolidate daily attendance, overtime, and contractor labor hours from the factory timekeeper. Prepare error-free summary sheets for the accounts team to process wages for 300+ workers.
Compliance Documentation: Maintain up-to-date records of labor compliance documents (PF/ESIC challans, factory licenses) and safety induction records.

4. Logistics & Supply Chain

Dispatch Coordination: Coordinate with transporters for the movement of heavy consignments (finished Tanks/Vessels). specific to the dimensions of ISO containers.
Import/Export Documentation: Handle documentation for imported raw materials (plates, valves) and finished goods export, including bill of lading and custom clearance paperwork.

5. MIS & Reporting (Senior Level Duties)

Management Reporting: Generate weekly MIS reports on "Planned vs. Actual" production, raw material wastage, and pending order status for the Directors.
Process Improvement: Identify bottlenecks in the paper trail (e.g., delays in GRN generation) and propose digital solutions to speed up the workflow.

Required Skills & Qualifications

Education: Bachelor’s degree in Commerce (B.Com), Business Administration, or equivalent. (Technical diploma added advantage).
Experience: 5–8 years in a manufacturing setup (preferably Engineering/Fabrication/Steel).
Technical Skills:
Advanced proficiency in MS Excel (V-Lookup, Pivot Tables, H-Lookup) is mandatory for analyzing large data sets.
Working knowledge of ERP systems (SAP, Tally, or custom manufacturing ERPs).
Familiarity with ISO 9001 documentation standards.
Soft Skills:
Strong cross-functional communication (ability to speak with floor supervisors and Chartered Accountants).
High attention to detail to manage data for high-value projects (Tank/Vessel contracts).
