Full job description

We are looking for a professional, well-groomed, and highly organized Receptionist to manage the front office and ensure a welcoming experience for all visitors, guests, dignitaries, and senior officials. The ideal candidate will coordinate meetings, manage executives' calendars, handle visitor protocols, and maintain smooth day-to-day administrative operations.

Key Responsibilities Front Office & Visitor Management

Welcome all visitors, guests, delegates, and senior officials with professionalism and courtesy.
Ensure proper visitor registration, entry, and exit procedures.
Guide visitors to meeting rooms and coordinate hospitality arrangements.
Maintain a clean, organized, and presentable reception area at all times.
Handle incoming calls, emails, and general inquiries professionally.

Senior Official & VIP Coordination

Coordinate visits of government officials, corporate leaders, and other VIP guests.
Ensure meeting rooms are prepared before scheduled meetings.
Arrange refreshments and hospitality for visitors and senior officials.
Coordinate with internal teams to ensure smooth execution of official meetings and visits.
Maintain confidentiality while handling executive communications and schedules.

Calendar & Meeting Management

Manage calendars and appointments for senior management.
Schedule internal and external meetings, ensuring there are no scheduling conflicts.
Send meeting invitations, reminders, and confirmations.
Coordinate meeting logistics, including venue booking, presentation setup, and required documents.
Maintain records of meetings and follow-up actions where required.

Administrative Support

Maintain visitor logs and reception records.
Handle courier, dispatch, and incoming/outgoing correspondence.
Coordinate office supplies and reception-related requirements.
Assist in organizing conferences, workshops, seminars, and official events.
Support administrative activities assigned by management.

Required Skills

Excellent communication skills in English and Hindi.
Professional appearance and pleasant personality.
Strong interpersonal and customer service skills.
Excellent organizational and multitasking abilities.
Strong time management and attention to detail.
Ability to work under pressure while maintaining professionalism.
High level of confidentiality and discretion.

Technical Skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Experience with Google Workspace (Calendar, Gmail, Meet, Docs).
Familiarity with online meeting platforms such as Zoom, Microsoft Teams, and Google Meet.

Qualifications

Graduate in any discipline (preferred).
Diploma or certification in Office Administration or Hospitality is an added advantage.

Experience

1–3 years of experience as a Receptionist, Front Office Executive, Executive Assistant, or Administrative Coordinator.
Experience handling senior executives, government officials, or corporate visitors will be preferred.
