About Maatya Advisory Services

Maatya Advisory Services is a fast-growing business support and digital solutions company serving clients across the USA, UK, Canada, and Australia. We specialize in Executive Assistance, Virtual Assistance, Digital Marketing, AI Automation, and Business Operations.

We're looking for a highly organized and proactive Executive Assistant who can become the CEO's right hand and contribute to the growth of the business.

Job Overview

This is more than a traditional Executive Assistant role. You'll work directly with the CEO, managing business operations, coordinating with teams, supporting client communication, and assisting with digital marketing activities.

We are specifically looking for candidates with a Digital Marketing Agency background who understand how agencies operate and can effectively support business growth.

Key Responsibilities

Manage the CEO's calendar, meetings, appointments, and travel.
Handle professional email communication and follow-ups.
Prepare Minutes of Meeting (MOM) and track action items.
Prepare quotations, invoices, proposals, and business documents.
Coordinate with internal teams to ensure timely project execution.
Track expenses and maintain business records.
Assist with client communication and relationship management.
Support online bidding through platforms like Upwork, LinkedIn, and Freelancer.
Coordinate with the marketing team on campaigns, content, and reporting.
Manage CRM updates and administrative tasks.
Handle selected personal tasks and appointments for the CEO when required.
Maintain complete confidentiality while handling sensitive information.

Requirements

2–4 years of experience as an Executive Assistant, Personal Assistant, or similar role.
Experience working in a Digital Marketing Agency is mandatory.
Excellent English verbal and written communication skills.
Strong email drafting and business communication.
Excellent organizational, multitasking, and time management skills.
Proficiency in Microsoft Office and Google Workspace.
Experience with documentation, invoicing, and expense management.
Ability to work independently and handle multiple priorities.
High level of professionalism, ownership, and confidentiality.

Preferred Skills

Experience working with UK or USA clients (preferred and considered a strong advantage).
Knowledge of Digital Marketing, SEO, PPC, Social Media, and Lead Generation.
Experience using CRM tools, ClickUp, GHL, Monday.com, or similar platforms.
Familiarity with AI tools such as ChatGPT, Claude, Gemini, or other productivity tools.
Experience in client coordination or account management.
