Admin & Donor Relations Executive

Full-Time | On-site | IAB, Madurai

Job Summary

Indian Association for the Blind (IAB) is looking for a proactive and well-organised Admin & Donor Relations Executive to support our growing administrative and donor engagement activities.

The person will be responsible for welcoming and coordinating with individual donors and visitors who visit IAB directly, managing Feast Donation coordination, supporting day-to-day administration, and assisting the team with basic digital and social media activities.

This role would suit someone who is people-oriented, comfortable with computers, confident in communication, and willing to take ownership of multiple responsibilities.

Key Responsibilities

Donor & Visitor Coordination

Welcome and coordinate with individual donors, visitors and well-wishers visiting IAB.
Understand their requirements and ensure a smooth and positive visitor experience.
Coordinate donor visits with relevant IAB teams.
Maintain donor/visitor records and follow up on enquiries and commitments.
Assist in sending acknowledgements, thank-you messages and basic donor communication.

Feast Donation Coordination

Coordinate the Feast Donation programme, including donor communication, scheduling and internal coordination.
Maintain records of feast sponsors and donation details.
Coordinate with the kitchen/operations team to ensure arrangements are made as committed to donors.
Capture basic photographs/videos of the feast and share relevant updates with the concerned team/donor.

Administration

Handle day-to-day administrative activities and documentation.
Maintain files, records, databases and basic reports.
Coordinate with internal departments for meetings, visits, events and other requirements.
Handle emails, WhatsApp communication and routine correspondence.
Support the existing administration team whenever required.

Basic Digital & Social Media Support

Assist the digital team with basic content collection from IAB activities.
Take good-quality photographs and short videos using a mobile phone.
Capture donor visits, events, student activities, celebrations and other important moments.
Assist in preparing basic content/captions for social media.
Coordinate with the digital marketing team for sharing photographs, videos and updates.
Basic knowledge of Instagram, Facebook, WhatsApp and Canva will be an advantage.

Required Skills & Qualifications

Bachelor's degree in any discipline.
2–5 years of experience in administration, front office, customer relations, donor coordination or a similar role.
Excellent verbal and written communication skills.
Good command of English and Tamil.
Strong computer skills and comfortable working with:
MS Word
Excel
PowerPoint
Email
Google Drive/Google Sheets
WhatsApp
Good organisational and follow-up skills.
Ability to manage multiple tasks and coordinate with different teams.
Should be comfortable interacting with senior professionals, donors and visitors.
Basic photography and mobile video skills.
Basic understanding of social media and digital marketing.Preferred Candidate Profile

Important

This is not a purely desk-based administrative position. The candidate will be expected to interact with donors and visitors, coordinate with internal teams, move around the campus when required, and occasionally travel locally for coordination-related work.
