Manager – CEO’s Office / Executive Assistant to Founder & CEO

Location: Kochi, Kerala
Department: CEO’s Office
Reporting To: Founder & CEO
Experience: 5–10 Years
Employment Type: Full-time

Job Summary

We are looking for a highly organized, intelligent, and execution-oriented professional to work closely with the Founder & CEO.

The role is responsible for converting the CEO’s decisions and instructions into clearly defined actions, coordinating with relevant teams, tracking progress, following up on deadlines, identifying delays, and ensuring complete closure.

This is not a conventional secretarial or administrative role. The ideal candidate will act as an execution partner to the CEO and drive cross-functional initiatives to completion.

Key Responsibilities

Attend key meetings with the CEO and accurately capture decisions, action points, owners, and deadlines.
Convert CEO instructions into structured tasks and maintain a centralized action tracker.
Proactively follow up with Department Heads, Regional Heads, BU Heads, Factory Heads, and other stakeholders.
Monitor deadlines, identify potential delays, and escalate critical issues to the CEO.
Ensure assigned actions are followed through to complete closure.
Prepare regular updates for the CEO covering completed, pending, overdue, and critical items.
Coordinate cross-functional initiatives across Sales, Projects, Design, Factory, Purchase, HR, Finance, IT, Marketing, and Expansion.
Track implementation of management decisions, SOPs, ERP processes, and new initiatives.
Collect, consolidate, and analyze reports and information required by the CEO.
Support management reviews, business meetings, and strategic initiatives.
Maintain confidentiality of sensitive business and management information.
Travel to branches or factories when required for critical initiatives and follow-up.

Candidate Profile

5–10 years of relevant professional experience.
Experience in CEO/Founder’s Office, Business Operations, Program Management, Project Management, Strategy & Operations, Management Consulting, or an operationally strong Executive Assistant role.
Experience in multi-location organizations, manufacturing, interiors, construction, retail, or project-based businesses is an advantage.
Strong business process and organizational understanding.
Excellent skills in MS Excel/Google Sheets, MIS, dashboards, ERP, and task-tracking tools.
Strong analytical, organizational, communication, and stakeholder-management skills.
Willingness to travel when required.

Important: Candidates whose experience is primarily limited to calendar management, travel arrangements, routine administration, reception, or basic secretarial responsibilities will not be preferred.

Pay: ₹75,000.00 - ₹90,000.00 per month
