JOB SUMMARY
The Spare Parts In-Charge will be responsible for the overall management and operations of the Piaggio Commercial Vehicle Spare Parts Department. The role includes parts procurement, inventory control, stock management, billing coordination, parts sales, customer support, and ensuring the timely availability of spare parts for service and customer requirements.
KEY RESPONSIBILITIES
- Spare Parts Operations
- Manage the day-to-day operations of the Piaggio Commercial Vehicle Spare Parts Department.
- Ensure the availability of required spare parts for workshop and customer requirements.
- Identify fast-moving, slow-moving, and critical spare parts.
- Maintain proper stock levels to avoid shortages and unnecessary excess inventory.
- Ensure proper storage and systematic arrangement of all spare parts.
- Inventory and Stock Management
- Maintain accurate stock records for all spare parts and accessories.
- Conduct regular physical stock verification and reconcile the same with system records.
- Monitor stock movement, stock ageing, shortages, and excess inventory.
- Ensure proper control of damaged, obsolete, and non-moving parts.
- Maintain proper records of stock receipts, issues, returns, and transfers.
- Parts Procurement and Ordering
- Prepare spare parts requirements based on stock levels and workshop demand.
- Coordinate with Piaggio / authorized distributors for parts ordering and availability.
- Place orders as per approved requirements and company procedures.
- Follow up on pending orders, back orders, and delayed supplies.
- Ensure timely availability of critical parts for customer vehicles.
- Workshop Coordination
- Coordinate closely with the Service Manager and workshop team regarding spare parts requirements.
- Issue parts against approved job cards and repair requirements.
- Ensure proper recording of all parts issued to the workshop.
- Coordinate with technicians and service advisors to identify required parts.
- Minimize vehicle delivery delays due to non-availability of spare parts.
- Parts Sales and Customer Service
- Attend to customer enquiries regarding spare parts availability, pricing, and delivery.
- Prepare quotations and coordinate parts sales as required.
- Maintain good relationships with retail customers, fleet customers, and workshop customers.
- Ensure timely delivery of parts to customers.
- Promote genuine Piaggio spare parts and accessories.
- Billing and Documentation
- Ensure proper billing and invoicing of spare parts.
- Maintain records of parts sales, purchases, returns, and warranty-related parts.
- Ensure proper documentation for all parts transactions.
- Coordinate with the Accounts Department regarding billing, payments, and outstanding amounts.
- Warranty and Parts Returns
- Coordinate with the Service Department regarding warranty parts requirements.
- Maintain proper records of warranty-related parts.
- Process parts returns and replacements as per company procedures.
- Coordinate with Piaggio / authorized distributors for warranty and defective parts matters.
- Team Management
- Supervise and guide spare parts staff, store assistants, and other assigned employees.
- Allocate duties and monitor staff performance.
- Ensure discipline, cleanliness, and proper organization of the spare parts store.
- Train staff regarding parts identification, handling, and inventory procedures.
- Reporting
- Prepare and submit daily, weekly, and monthly spare parts reports.
- Monitor parts sales, stock value, inventory movement, and pending orders.
- Report stock shortages, damaged parts, and critical inventory issues to management.
- Provide regular updates to the Service Manager and General Manager.
REQUIRED QUALIFICATIONS AND SKILLS
- Diploma / Degree in Automobile, Mechanical, or related field preferred.
- Minimum 2–5 years of experience in automobile spare parts operations.
- Experience in commercial vehicle / 3-wheeler spare parts will be an added advantage.
- Good knowledge of automobile spare parts and inventory management.
- Good computer knowledge and ability to work with inventory / DMS software.
- Strong organizational and stock management skills.
- Good communication and coordination skills.
- Ability to work under pressure and meet business requirements.

AUTHORITY AND ACCOUNTABILITY
The Spare Parts In-Charge is responsible and accountable for the proper management of spare parts inventory, stock accuracy, timely availability of parts, parts sales, customer service, and the overall efficient operation of the Piaggio Commercial Vehicle Spare Parts Department.
The Spare Parts In-Charge shall perform any other duties and responsibilities assigned by the Service Manager, General Manager, or Management from time to time.
Pay: ₹20,000.00 - ₹25,000.00 per month
Work Location: In person
