Job Summary

We are seeking a professional, organized, and welcoming individual to join our team as a Front Office Coordinator. As the first point of contact for our company, you will play a crucial role in shaping the first impression for our clients and visitors. The ideal candidate will possess excellent communication skills, a polished demeanor, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Visitor Management: Greet and welcome guests as soon as they arrive at the office; direct visitors to the appropriate person and office.
Communication: Answer, screen, and forward incoming phone calls while providing basic information when needed.
Administrative Support: Manage the reception area, handle incoming and outgoing mail/deliveries, and maintain office security by following safety procedures and controlling access via the reception desk.
Scheduling: Coordinate meetings, manage boardroom calendars, and assist with travel arrangements or event planning as required.
Documentation: Maintain digital and hard copy filing systems and assist with the preparation of formal business correspondence and reports.

Qualifications & Skills

Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role.
Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Communication: Exceptional verbal and written communication skills with a focus on professional etiquette.
Organization: Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Professionalism: A customer-service orientation and a professional appearance and attitude.
Education: High school degree; additional certification in Office Management is a plus.
