Full job description

We are looking for a proactive and highly organized Executive Assistant to provide dedicated support to the Managing Director. The ideal candidate will be the right hand of the MD — managing schedules, coordinating across teams, and ensuring smooth day-to-day functioning of the office.

Important: The candidate is required to report to the MD's residence every morning for daily schedule planning and discussion. They will travel with the MD throughout the day to client meetings, site visits, and other engagements to take real-time notes and provide on-ground support.

KEY RESPONSIBILITIES

MD Support & Calendar Management

Manage the MD's daily calendar, schedule meetings, and send timely reminders
Coordinate domestic and international travel arrangements including tickets, hotels, and itineraries
Organize and prepare for client meetings and visits, ensuring all logistics are in place
Maintain and share daily schedules with the MD and relevant team members
Record meeting notes/minutes and follow up on action items and pending tasks
Travel with the MD to client meetings and site visits to provide real-time support and documentation

Coordination & Communication

Act as the primary point of contact between the MD and internal teams/departments
Coordinate with department heads and team leads for updates, reports, and deliverables
Maintain records of team meetings, decisions, and follow-up actions
Handle day-to-day coordination between the MD and the team to ensure smooth workflow
Relay instructions, feedback, and updates from the MD to respective teams promptly

Administrative Support

Report to the MD's location each morning for schedule planning and daily briefing
Maintain organized records, files, and documentation
Prepare reports, presentations, and MIS updates as required
Manage correspondence — emails, calls, and messages on behalf of the MD where needed

KEY REQUIREMENTS

Graduate in any discipline; MBA or relevant certification is a plus
2–5 years of experience as an EA, PA, or in an administrative role
Excellent verbal and written communication skills in English and Hindi
Proficient in MS Excel, Word, PowerPoint, and email management
Strong multitasking ability — able to manage multiple priorities simultaneously
High level of discretion, integrity, and professionalism
Ability to work under pressure and adapt quickly to changing priorities
Must be comfortable with daily field travel and accompanying the MD to meetings and site visits
Flexible working hours as per the MD's schedule
