Personal Secretary to Directors / Executive Assistant

Job Description

ProASP India Pvt Ltd is looking for a professional, organized, and highly dependable Personal Secretary to Directors / Executive Assistant to provide end-to-end administrative and executive support to the company’s Directors.

The ideal candidate should have prior experience working as a Personal Secretary, Executive Assistant, Personal Assistant, EA to Director, or Secretary to Senior Management and must be comfortable managing confidential information, executive calendars, business communication, meetings, presentations, and domestic and international travel arrangements.

This is a highly responsible position requiring excellent communication skills, professionalism, discretion, strong organizational ability, and flexibility to travel within India and internationally when required.

Key Responsibilities

Manage the Directors’ calendars, appointments, meetings, schedules, and daily priorities.
Coordinate and organize domestic and international business travel.
Arrange flight bookings, hotels, transportation, visas, travel itineraries, and other travel logistics.
Ensure Directors are fully prepared for meetings, appointments, business trips, and important events.
Act as a key point of contact between the Directors and internal departments, clients, vendors, business partners, and other stakeholders.
Manage incoming and outgoing calls, emails, correspondence, reminders, and follow-ups professionally.
Prepare PowerPoint presentations, reports, documents, meeting notes, correspondence, and management information.
Coordinate meetings and prepare agendas, required documents, presentations, and follow-up action items.
Maintain proper records of important documents, business information, appointments, and confidential correspondence.
Follow up with internal teams and external parties on behalf of the Directors.
Assist the Directors with day-to-day administrative and business-related activities.
Prioritize urgent matters and ensure smooth execution of key management decisions.
Handle sensitive and confidential business information with complete discretion.
Provide proactive executive support and anticipate the Directors’ administrative and business requirements.
Accompany Directors on national and international business travel when required.

Candidate Requirements

Minimum 2–4 years of relevant experience as a Personal Secretary, Executive Assistant, Personal Assistant, Secretary to Director, or similar executive-support position.
Previous experience supporting Directors, CXOs, senior management, business owners, or senior executives is preferred.
Excellent English speaking, written communication, and interpersonal skills.
Professional personality with excellent business etiquette and manners.
Strong organizational, planning, coordination, and time-management skills.
Ability to handle multiple priorities and work efficiently in a fast-paced environment.
Strong working knowledge of Microsoft Office, including:
Microsoft Word
Microsoft Excel
Microsoft Outlook
Microsoft PowerPoint
Strong PowerPoint presentation preparation skills are essential.
Comfortable communicating and interacting with senior management, clients, vendors, and business associates.
Ability to work independently and take ownership of assigned responsibilities.
Strong attention to detail and follow-up skills.
Must be professional, trustworthy, discreet, and capable of maintaining confidentiality.
Willing and able to travel frequently for business assignments.
Valid passport is mandatory.
