Role: Senior Admin Executive / Office Administrator
We are looking for an experienced and responsible Senior Admin Executive / Office Administrator to manage day-to-day office administration, internal coordination, vendor communication, workplace discipline, and overall office operations.
The ideal candidate should be mature, proactive, well-organized, and capable of handling administrative responsibilities independently with minimal supervision.
Key Responsibilities
- Coordinate effectively between directors, staff, clients, vendors, and external service providers.
- Manage appointments, meeting schedules, reminders, and daily follow-ups.
- Oversee day-to-day office operations and ensure smooth functioning of the workplace.
- Maintain staff discipline, office decorum, punctuality, and a professional workplace environment.
- Ensure office processes, instructions, and internal standards are properly followed.
- Manage office supplies, stationery, pantry items, and other stock requirements.
- Arrange internal office events, staff meetings, celebrations, and office-related activities.
- Communicate with vendors and service providers for office requirements and maintenance work.
- Coordinate repairs and service support for office equipment such as desktops, laptops, printers, cameras, CCTV, internet, electrical items, and other appliances.
- Ensure office cleanliness, maintenance, seating arrangements, and general workplace readiness.
- Maintain basic records, vendor details, bills, files, office documents, and admin-related reports.
- Follow up with staff, vendors, and service providers to ensure timely completion of assigned tasks.
- Identify office requirements in advance and update management proactively.
- Support directors and management in administrative, coordination, and operational matters.
Candidate Requirements
- Minimum qualification: Bachelor’s degree.
- Minimum 5+ years of relevant experience in office administration, office coordination, or a similar role.
- Good communication skills in Tamil and English.
- Ability to clearly understand requirements and communicate them effectively to the concerned person or team.
- Strong coordination, follow-up, and problem-solving skills.
- Ability to manage staff coordination and vendor communication with maturity and confidence.
- Computer knowledge, including email, WhatsApp, Excel/Google Sheets, and general office tools.
- Should be organized, punctual, responsible, and professional.
- Must be capable of handling administrative responsibilities independently.
- Should have a proactive approach towards office needs, internal coordination, and workplace management.
