Job Summary
We are looking for an experienced HR Executive / HR Manager to manage recruitment, candidate screening and first-round interviews, onboarding, employee documentation, attendance, payroll coordination, employee relations, performance management, HR administration, and applicable HR compliance.
The HR professional will work closely with management, employees, recruiters, and the payroll team to ensure smooth day-to-day HR operations.
Candidate Screening & First-Round Interviews
- Review and screen resumes before forwarding candidates to management.
- Match candidate skills, qualifications, experience, and background against job requirements.
- Conduct the first-round HR interview for shortlisted candidates.
- Evaluate communication skills, professionalism, experience, attitude, and overall suitability.
- Verify current salary, expected salary, notice period, availability, and preferred work location.
- Ask position-specific screening questions before scheduling candidates with management or technical teams.
- Review employment history and identify unexplained employment gaps, frequent job changes, or inconsistencies requiring clarification.
- Maintain interview notes and prepare clear candidate summaries for management.
- Forward only qualified and properly screened candidates for technical or management interviews.
- Schedule and coordinate second-round, technical, and final interviews.
- Follow up with candidates throughout the hiring process.
- Maintain records of shortlisted, interviewed, selected, rejected, and pending candidates.
Recruitment & Hiring
- Manage the complete recruitment process from job posting through employee joining.
- Prepare and publish job descriptions on appropriate hiring platforms.
- Source candidates through job portals, recruitment agencies, referrals, and other recruiting channels.
- Maintain an active candidate pipeline for open positions.
- Coordinate technical and management interviews.
- Conduct reference and background verification when required.
- Discuss compensation and salary expectations within management-approved ranges.
- Prepare and issue offer letters and appointment letters.
- Coordinate joining dates and pre-employment requirements.
- Maintain complete recruitment and hiring records.
Employee Onboarding & Documentation
- Collect and verify required employee documents.
- Prepare employment agreements, NDAs, company policies, and required HR forms.
- Complete employee joining formalities.
- Conduct new-employee HR orientation.
- Explain working hours, attendance requirements, leave policies, holidays, workplace rules, and company expectations.
- Create and maintain employee personnel files.
- Coordinate allocation and documentation of company laptops, equipment, and other company assets.
- Ensure required employment documents are properly completed and signed.
Attendance & Leave Management
- Maintain employee attendance, working-hour, and leave records.
- Monitor employee absences, late arrivals, and unauthorized leave.
- Maintain employee leave balances.
- Process and document leave requests.
- Follow up with employees regarding attendance issues.
- Provide accurate monthly attendance information for payroll processing.
- Maintain holiday and weekly-off records.
Payroll Coordination
- Coordinate directly with the payroll team for monthly employee payroll processing.
- Prepare and provide accurate attendance, leave, salary, bonus, deduction, and other required payroll information.
- Review payroll information for discrepancies before processing.
- Make sure employee salaries are processed accurately and paid on time.
- Verify after each payroll cycle that salary payments have been successfully processed.
- Follow up with the payroll team regarding any delayed, missing, rejected, or incorrect salary payments.
- Coordinate correction of payroll discrepancies.
- Maintain records of salary revisions, bonuses, deductions, reimbursements, and other compensation changes.
- Respond to employee payroll questions and coordinate with the payroll team to resolve issues.
- Maintain appropriate payroll documentation and confidentiality.
- Coordinate Full & Final Settlement (F&F) with the payroll team for departing employees.
- Confirm completion of final payments and applicable settlement documentation.
Employee Relations
- Serve as the primary HR contact for employees.
- Handle employee questions, concerns, and workplace grievances professionally.
- Maintain professional communication between employees and management.
- Help management resolve employee conflicts and workplace issues.
- Communicate company policies and management decisions to employees.
- Address workplace conduct and disciplinary concerns.
- Maintain confidentiality regarding employee and company matters.
Performance Management
- Track employee probation periods.
- Coordinate probation-period performance reviews with managers.
- Coordinate regular employee performance evaluations.
- Maintain performance-review documentation.
- Assist management in documenting performance concerns.
- Coordinate Performance Improvement Plans (PIPs) when required.
- Track employee progress against performance expectations.
- Maintain records of employee warnings and disciplinary actions.
- Coordinate salary revisions and promotions approved by management.
Employee Termination & Separation
- Manage employee resignation and termination documentation.
- Coordinate notice periods and last working dates.
- Prepare warning, resignation acceptance, termination, relieving, and experience documentation as applicable.
- Ensure company laptops, equipment, documents, ID cards, and other company property are returned.
- Coordinate removal of company system and account access with the appropriate department.
- Coordinate Full & Final Settlement with the payroll/accounts team.
- Verify completion of final salary and settlement processing.
- Conduct exit interviews when required.
- Maintain complete employee separation records.
HR Compliance – India
- Maintain HR policies, procedures, and employee records according to applicable Indian employment requirements.
- Coordinate applicable statutory requirements relating to EPF, ESI, Professional Tax, TDS, gratuity, statutory bonus, maternity benefits, leave, and other employment obligations, where applicable.
- Maintain required employee and statutory documentation.
- Coordinate with payroll providers, accountants, consultants, or legal professionals when necessary.
- Monitor applicable HR and labour requirements and recommend policy updates when necessary.
- Maintain confidentiality and appropriate access controls for employee records.
HR Administration & Reporting
- Maintain an accurate and updated employee database.
- Maintain employee files and HR documentation.
- Prepare regular HR reports for management.
- Track employee headcount, vacancies, hiring status, attendance, turnover, and employee exits.
- Maintain recruitment and interview reports.
- Track offer acceptance and employee joining status.
- Maintain payroll coordination records.
- Assist management with workforce planning.
- Provide management with regular updates regarding recruitment and employee-related matters.
Required Skills & Qualifications
- Bachelor’s or Master’s degree in Human Resources, Business Administration, Management, or a related field.
- 3+ years of HR/recruitment experience preferred.
- Strong experience in resume screening and conducting first-round interviews.
- Ability to evaluate technical and non-technical candidates.
- Strong recruitment and candidate-assessment skills.
- Experience coordinating payroll and employee salary processing.
- Working knowledge of Indian HR practices and applicable employment requirements.
- Experience with onboarding, attendance, leave, performance management, employee relations, and employee separation.
- Strong written and verbal communication skills.
- Good knowledge of Microsoft Excel, Word, email, job portals, and HR/attendance systems.
- Strong organizational and documentation skills.
- Ability to handle confidential employee and payroll information professionally.
- Ability to work independently and coordinate effectively with management and other departments.
