Job Description– Dispatch Executive (Manufacturing Industry)

Dispatch Executive

Reporting To

Commercial Head

Location- Vill- Ramnagar Sanpera Sonipat

Manufacturing Plant

Job Summary

The Dispatch Executive is responsible for managing the dispatch of finished goods, ensuring timely deliveries, maintaining dispatch documentation, coordinating with transporters and customers, and ensuring compliance with company policies. The role involves planning, monitoring, and executing dispatch operations to achieve customer satisfaction and operational efficiency.

Key ResponsibilitiesDispatch Planning & Execution

Plan and execute daily dispatch activities as per customer requirements and delivery schedules.
Coordinate with production, stores, and sales departments for timely availability of finished goods.
Ensure dispatches are completed as per approved schedules and customer commitments.
Monitor loading and unloading activities to ensure safe handling of materials.

Logistics Coordination

Coordinate with transporters for vehicle placement and timely shipment of goods.
Arrange transportation based on delivery schedules and customer locations.
Track shipments and ensure on-time delivery to customers.
Resolve transportation and delivery-related issues promptly.

Documentation & Compliance

Prepare and verify dispatch documents such as invoices, e-way bills, delivery challans, packing lists, and transporter documents.
Ensure all dispatch documentation is accurate and complete.
Maintain dispatch records and reports for audit and compliance purposes.
Ensure compliance with GST, transportation, and company regulations.

Inventory & Warehouse Coordination

Coordinate with warehouse/stores teams for stock availability and dispatch readiness.
Verify material quantities and specifications before dispatch.
Assist in inventory reconciliation and stock verification activities.
Ensure FIFO/FEFO practices are followed where applicable.

Customer Coordination

Communicate dispatch schedules and shipment status to customers.
Address customer queries related to dispatch and delivery.
Coordinate with sales and customer service teams regarding urgent shipments and delivery requirements.

MIS & Reporting

Maintain daily dispatch records and shipment tracking reports.
Prepare dispatch MIS reports for management review.
Monitor dispatch performance and identify areas for improvement.
Maintain transporter performance records.

Safety & Housekeeping

Ensure compliance with safety standards during loading and dispatch activities.
Maintain cleanliness and organization in dispatch and loading areas.
Report any safety concerns or operational issues immediately.

Educational Qualification

Graduate in Commerce, Logistics, Supply Chain Management, Business Administration, or related field.
Diploma in Logistics/Supply Chain Management is an added advantage.

Experience

2 to 5 years of experience in Dispatch, Logistics, Warehouse, or Supply Chain operations.
Experience in Manufacturing Industry preferred.
Knowledge of ERP systems, GST documentation, and e-way bill generation.
