Full job description

We are looking for a responsible, proactive, and well-organized Office Administrator & Institute Coordinator to manage the day-to-day operations of our German Language Institute in Muvattupuzha.

The ideal candidate should be confident in handling students, parents, enquiries, office administration, and daily institute activities. Since this is a key role in managing the institute, we are looking for someone who can take ownership of responsibilities and ensure the smooth functioning of the centre.

Key Responsibilities

- Manage the day-to-day operations and administration of the institute.

- Coordinate classes, student schedules, attendance, and other academic activities.

- Handle student and parent enquiries professionally.

- Manage telephone calls, WhatsApp enquiries, and walk-in enquiries.

- Follow up with prospective students and support admissions.

- Coordinate with teachers, students, and management.

- Maintain student records, documents, and office files.

- Assist with fee collection, receipts, and basic administrative tasks.

- Support the institute's telecalling and student counselling activities.

- Help promote courses and generate new student enquiries.

- Ensure the institute is organized, welcoming, and functioning efficiently.

- Prepare basic reports and provide regular updates to management.

- Handle other administrative and coordination responsibilities as required.

Candidate Requirements

- Bachelor's degree in any discipline.

- Minimum 1 year of relevant work experience.

- Good communication and interpersonal skills.

- Strong organizational and time-management abilities.

- Comfortable communicating with students, parents, and prospective students.

- Basic computer knowledge and familiarity with MS Office / Google Workspace.

- Ability to handle telephone calls, WhatsApp communication, and follow-ups professionally.

- Should be responsible, presentable, proactive, and capable of working independently.

- Candidates from Muvattupuzha or areas will be preferred.

Additional Advantages

Preference will be given to candidates with:

- Previous experience in a German language institute.

- Experience in a study-abroad / overseas education consultancy.

- Experience in an education consultancy or training institute.

- Knowledge of the German language.

- Experience in telecalling, student counselling, admissions, or sales follow-up.

- Experience in managing or coordinating an educational institution.
