Executive Assistant to Managing Director (EA to MD)

About the Role

We are looking for a smart, well-organized, and proactive Executive Assistant to the Managing Director to support the MD in day-to-day office coordination, communication, documentation, and follow-ups.

The ideal candidate should have good communication skills, be comfortable coordinating with different departments, and be able to handle multiple responsibilities with professionalism and confidentiality.

Key Responsibilities

Manage the MD’s daily schedule, meetings, appointments, and follow-ups.
Coordinate with internal teams, clients, vendors, and other business associates.
Prepare and maintain reports, MIS, presentations, documents, and correspondence.
Follow up with different departments on tasks assigned by the MD.
Attend meetings with the MD and maintain meeting notes and action points.
Handle emails, calls, and official communication on behalf of the MD when required.
Maintain important documents, records, and confidential information.
Coordinate meetings, travel arrangements, and other official requirements.
Assist the MD in monitoring important operational and administrative activities.
Ensure timely follow-up and completion of tasks assigned by the MD.
Perform other administrative and coordination duties as required.

Candidate Requirements

Bachelor’s degree in any discipline.
1–4 years of experience in Executive Assistant, Personal Assistant, Office Administration, Coordination, or similar roles.
Excellent verbal and written communication skills.
Good knowledge of MS Office, particularly Excel, Word, and PowerPoint.
Strong organizational and follow-up skills.
Ability to manage multiple tasks and work under pressure.
Good professional appearance and communication etiquette.
Should be trustworthy, responsible, and able to maintain confidentiality.
Experience in logistics, transportation, supply chain, or related industries will be an advantage.
