Job Description:-Personal Assistant to Managing Director

Position:-Personal Assistant to Managing Director

Department:-Executive Office / Administration

Reports To:-Managing Director

Job Summary

We are looking for a highly organized, proactive, and trustworthy Personal Assistant to the Managing Director to provide comprehensive administrative and executive support. The successful candidate will manage the Managing Director’s schedule, coordinate meetings and communication, follow up on important tasks, and ensure smooth day-to-day functioning of the executive office.

The role requires excellent communication skills, discretion, attention to detail, time-management abilities, and the confidence to interact professionally with senior management, clients, vendors, and other stakeholders.

Key Responsibilities

Manage the Managing Director’s daily calendar, appointments, meetings, and travel schedules.
Coordinate and schedule internal and external meetings, including preparation of agendas and required documents.
Screen and manage calls, emails, correspondence, and other communications.
Prepare presentations, reports, letters, minutes of meetings, and other business documents.
Maintain confidential files, records, contracts, and sensitive information.
Track important tasks, deadlines, commitments, and follow-ups on behalf of the Managing Director.
Coordinate with department heads and employees to obtain updates and ensure timely completion of assigned tasks.
Attend meetings when required, record minutes, and follow up on action points.
Arrange domestic and international travel, including tickets, accommodation, transportation, and itineraries.
Assist with preparation for client meetings, business events, conferences, and executive visits.
Handle personal and official requirements of the Managing Director with professionalism and discretion.
Maintain an organized filing and documentation system, both physical and digital.
Liaise with clients, suppliers, business partners, government officials, and other stakeholders as required.
Support the Managing Director in day-to-day administrative and business coordination.
Perform other duties and special assignments as directed by the Managing Director.

Required Skills & Qualifications

Bachelor’s degree in Business Administration, Management, or a related field preferred.
2–5 years of experience as a Personal Assistant, Executive Assistant, Secretary, or in a similar role.
Excellent written and verbal communication skills.
Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Excellent organizational and time-management skills.
Ability to prioritize multiple tasks and work under pressure.
Strong follow-up and coordination skills.
Professional appearance and interpersonal skills.
High level of confidentiality, integrity, and discretion.
Ability to work independently and take initiative.
Strong attention to detail and problem-solving ability.
