We are looking for a warm, confident and highly dependable Senior Guest Relations Executive – Patient Experience who can welcome every guest professionally, make them feel comfortable, coordinate their journey through the centre and ensure thoughtful attention from arrival until departure.
This is not a routine receptionist position.
It is a guest-relations and coordination role for someone who understands that premium service is created through warmth, clear communication, attention to detail and personal ownership.

Célèbre Aesthetics is a premium, specialised aesthetic surgery centre with a growing presence across Gujarat.
We offer planned aesthetic procedures designed to enhance appearance and confidence, including:
– Hair transplant

Célèbre is not an emergency hospital or a conventional clinical environment.
Our consultations and procedures are planned in advance, and most admitted guests stay with us for approximately six to ten hours before returning home the same day.

The Guest Relations Executive plays a central role in creating this experience.
About the Role
You will manage the front desk and coordinate the guest journey across consultations, planned single-day admissions and discharges.
You will be the first point of contact for many people who are unfamiliar with Célèbre and may be excited, nervous, impatient or uncertain.
Your responsibility will be to create confidence, manage expectations, communicate clearly and coordinate the right people so that no guest feels ignored or confused.

– Operation-Theatre Staff
– Patient-Care Coordinators

– Housekeeping
– Guests and accompanying family members
Key Responsibilities1. Welcome and Guest Relations
– Welcome guests and accompanying family members warmly and professionally.
– Create a positive and reassuring first impression of Célèbre.
– Understand the purpose of the guest’s visit and guide them appropriately.
– Help guests feel comfortable while they wait.
– Maintain professional, warm and respectful communication throughout the visit.
– Ensure that no guest feels unattended, confused or forgotten.
– Maintain a calm, welcoming and well-presented reception environment.
2. Registration and Front-Desk Coordination
– Assist guests with patient-information and registration forms.
– Ensure required non-clinical information is completed accurately.
– Maintain appointment, consultation and visitor records.
– Coordinate incoming telephone calls, WhatsApp communication and enquiries.
– Direct enquiries and visitors to the appropriate team member.
– Maintain front-desk documentation, forms and necessary supplies.
– Ensure reception and guest waiting areas remain clean, organised and presentable.
3. Consultation Scheduling
– Coordinate consultations with Medical Sales Counsellors.
– Schedule consultations with Plastic Surgeons whenever required.
– Inform the concerned team when a guest arrives.
– Coordinate the sequence of counselling and doctor consultations.
– Inform guests about the expected consultation flow.
– Help prevent unnecessary confusion between counsellors, doctors, staff and guests.
4. Waiting-Time and Expectation Management
– Communicate expected waiting times honestly.
– Provide timely updates when a counsellor or Plastic Surgeon is delayed.
– Ensure guests do not feel ignored during waiting periods.
– Offer appropriate comfort and assistance while they wait.
– Identify frustration or dissatisfaction early and coordinate an appropriate resolution.
– Communicate delays without making false promises.
– Escalate sensitive matters to the appropriate senior person when necessary.
5. Planned Single-Day Admission Coordination
– Welcome guests arriving for planned procedures.
– Coordinate admission-related administrative formalities.
– Guide guests and accompanying family members through the non-clinical process.
– Ensure required forms and administrative documentation are completed.
– Coordinate with nurses, counsellors, operation-theatre staff and administration.
– Help guests understand the expected flow of the day.
– Provide appropriate non-medical updates during the six-to-ten-hour stay.
– Ensure family members remain appropriately informed and comfortable.
– Coordinate guest movement within the centre.
– Anticipate routine needs and arrange assistance promptly.
6. Discharge Coordination
– Coordinate with authorised clinical and administrative teams regarding discharge readiness.
– Ensure discharge documents and approved instructions are handed over properly.
– Confirm that the guest and accompanying person know whom to contact after leaving.
– Help coordinate transportation or departure arrangements when required.
– Ensure the guest’s departure experience is organised and comfortable.
– Escalate any unresolved clinical question to the authorised nurse or Plastic Surgeon.
7. Guest Feedback and Reviews
– Check whether guests are satisfied with their experience.
– Invite satisfied guests to share an honest review.
– Record important guest feedback.
– Share recurring complaints, concerns or suggestions with management.
– Follow up internally until significant concerns are resolved or appropriately escalated.
8. Front-Desk Administration
– Maintain appointment and guest-movement records.
– Coordinate consultation, admission and discharge timings.
– Maintain daily front-desk reports where required.
– Track waiting times and unresolved guest issues.
– Coordinate with housekeeping and administration regarding guest areas.
– Ensure forms, stationery and essential front-desk materials are available.
– Assist in improving front-desk systems and guest-experience processes.
– Take ownership of reasonable guest-relations and coordination responsibilities based on the centre’s requirements.

Essential Requirements

– Prior data-entry experience is an added advantage.

– Graduate, diploma holder or professionally trained candidate from a recognised institution.
– Fluent spoken English, Hindi and Gujarati.
– Ability to read and write professional English.

– Basic knowledge of computers, email, WhatsApp and office software.
