Marketing Coordinator cum Executive Assistant

Marwadi Shares and Finance Limited.

Marwadi Financial Services is the financial services arm of the Marwadi Group and has 800 plus employees across 104 locations around Gujarat and neighboring states. There are also in excess of 1450 franchisees as a part of their network. Leveraging the network and their world class product and services they have a 4.1L customer base.

Job Purpose:

We at Marwadi Financial Services are looking for a Marketing Coordinator cum Executive Assistant.

Requirements:

Qualification: Bachelor's degree in Business Administration, Marketing, Management, Commerce, or a related field.
MBA or Postgraduate qualification is preferred but not mandatory.
Experience: 2–5 years of experience as a Marketing Coordinator, Executive Assistant, Project Coordinator, or Administrative Executive.

Freshers with exceptional organizational and communication skills may also be considered.

Responsibilities:

Marketing Coordination:

● Coordinate with internal teams, agencies, vendors, and external partners for marketing projects.

● Track marketing campaigns and ensure timely execution of deliverables.

● Maintain marketing calendars, campaign schedules, and project trackers.

● Coordinate product launches, events, webinars, and promotional activities.

● Follow up with departments to ensure timely completion of assigned tasks.

Executive Assistance:

● Manage the calendar, meetings, and appointments of the Marketing Head.

● Prepare meeting agendas, MOM (Minutes of Meeting), and follow-up action items.

● Screen and prioritize emails, calls, and correspondence.

● Arrange travel, accommodations, and meeting logistics when required.

● Maintain confidential documents and executive records.

Communication & Documentation:

● Draft professional emails, presentations, reports, and internal communications.

● Maintain marketing documentation, approvals, and project files.

● Coordinate with design, content, digital marketing, sales, and vendors for project execution.

● Ensure smooth communication between stakeholders.

Project & Task Management:

● Monitor project timelines and deadlines.

● Maintain task trackers and status reports.

● Escalate delays and risks to management.

● Ensure timely completion of assigned marketing activities.

Vendor & Budget Coordination:

● Coordinate with creative agencies, printers, event vendors, and media partners.

● Collect quotations and maintain vendor records.

● Track invoices and coordinate with finance for payment processing.

● Assist in maintaining the department's marketing budget records.

Event Coordination:

● Assist in planning corporate events, exhibitions, seminars, webinars, and internal engagement activities.

● Coordinate venue bookings, logistics, branding materials, and vendor management.

● Support on-ground execution of marketing events.

Administrative Support:

● Organize departmental files and records.

● Maintain purchase requests and approvals.

● Prepare weekly and monthly activity reports.

● Handle other administrative tasks assigned by the Marketing Head.

● Timely completion of marketing projects and tasks.

● Accuracy and quality of documentation and reports.

● Effective coordination with internal and external stakeholders.

● Meeting and calendar management efficiency.

● Timely follow-up and closure of action items.

● Vendor coordination and invoice processing turnaround time.

● Over all administrative support to the Marketing Department.
