Reporting To: Owner

About the Role

We are looking for an experienced and responsible Facility Manager to manage the day-to-day operations, maintenance, safety, housekeeping, staff, and overall upkeep of a private bungalow/residence. The ideal candidate should be well-organized, proactive, trustworthy, and capable of coordinating multiple vendors and household staff while maintaining high standards of service.

Key Responsibilities

1. Property & Facility Management

Ensure the bungalow, gardens, utilities, equipment, and other facilities are maintained in excellent condition.

Conduct regular inspections of the property and identify maintenance requirements.

Coordinate preventive and corrective maintenance for electrical, plumbing, HVAC, generators, pumps, appliances, etc.

Maintain records of maintenance activities, warranties, AMC contracts, and service schedules.

Ensure the property is clean, functional, safe, and presentable at all times.

2. Staff Management

Supervise household staff such as housekeeping, gardeners, drivers, security personnel, cooks, and maintenance staff.

Prepare staff schedules, allocate duties, and monitor attendance and performance.

Ensure staff follow appropriate standards of hygiene, discipline, grooming, and conduct.

Coordinate recruitment, onboarding, training, and replacement of staff when required.

3. Vendor & Contractor Management

Identify and coordinate with reliable vendors, technicians, contractors, and service providers.

Obtain quotations and negotiate rates where appropriate.

Monitor the quality and timely completion of outsourced work.

Maintain vendor contacts, contracts, invoices, and service records.

4. Security & Safety

Ensure effective security arrangements for the property.

Coordinate with security guards and monitor CCTV, access control, alarms, and other security systems.

Ensure fire safety equipment and emergency systems are inspected and maintained.

Develop and implement emergency procedures for situations such as fire, power failure, water leakage, or security incidents.

5. Utilities & Inventory

Monitor electricity, water, gas, diesel, internet, and other utility consumption.

Ensure adequate supply of household consumables, cleaning materials, maintenance items, and other necessities.

Maintain proper inventory records and avoid unnecessary wastage.

Track recurring expenses and support cost-control initiatives.

6. Guest & Event Support

Ensure the residence is fully prepared for guests, family functions, parties, and other events.

Coordinate housekeeping, catering, security, parking, decoration, maintenance, and other requirements.

Ensure smooth execution of events while maintaining privacy and service standards.

7. Administration & Reporting

Maintain daily/weekly/monthly reports covering maintenance, staff attendance, expenses, inventory, and incidents.

Maintain documentation for AMC contracts, licenses, insurance, warranties, and statutory requirements.

Prepare maintenance and operating budgets and monitor expenses against approved budgets.

Escalate important maintenance, security, staffing, or financial issues to the management/owner promptly.

Candidate Requirements

Graduate or diploma in Facility Management, Hospitality, Engineering, Administration, or a related field preferred.

5–10 years of relevant experience in facility management, luxury residential property, hospitality, estate management, or a similar role.

Experience managing household staff and external vendors.

Good knowledge of basic electrical, plumbing, HVAC, generator, water systems, and general property maintenance.

Strong organizational, communication, and problem-solving skills.

Ability to handle emergencies calmly and make practical decisions.

Good computer skills, including MS Office/Excel and basic reporting.

High level of integrity, confidentiality, discretion, and trustworthiness is essential.

Ability to work flexible hours when required, including weekends or during special events.
