Job Summary:
The Travel Head is responsible for overseeing all aspects of corporate travel management, including vendor negotiations, visa processing, accommodation arrangements, and travel logistics for the organization. This strategic role involves optimizing travel costs, ensuring compliance with policies, and enhancing the efficiency of the travel process. The Travel Head will lead a team responsible for arranging domestic and international travel, accommodation, and visas, managing travel budgets, and ensuring a smooth travel experience for employees and executives.
Key Responsibilities:
Travel Strategy & Planning:
- Develop and implement a comprehensive corporate travel strategy aligned with the company’s objectives.
- Design and update travel policies, including booking guidelines, expense management, accommodation standards, and visa procedures.
- Monitor travel expenses and ensure alignment with the company's budgetary goals.
Visa Processing & Compliance:
- Manage and oversee the visa application process for all employees traveling internationally.
- Ensure timely procurement of business visas, work permits, and other required travel documents.
- Liaise with embassies, consulates, and third-party agencies to facilitate smooth visa processes.
- Stay informed on the latest international visa regulations and ensure compliance with changing laws and requirements.
Accommodation Management:
- Arrange and manage hotel bookings, long-term stays, and other accommodations for employees, guests, and clients.
- Negotiate with accommodation providers to secure the best rates and services.
- Ensure the quality and safety standards of accommodations, including compliance with company policies and traveler preferences.
Vendor & Supplier Management:
- Build and maintain partnerships with airlines, hotels, car rental companies, travel agencies, and visa processing firms.
- Negotiate competitive rates and service level agreements with vendors.
- Ensure smooth communication and collaboration with external travel service providers.
Operational Management:
- Oversee day-to-day travel operations, including air tickets, Train ticket booking, hotel bookings, visas, transportation, and itineraries.
- Ensure travelers are provided with necessary support during their journeys, including emergency assistance.
- Implement and manage systems for effective travel coordination and support.
Budgeting & Reporting:
- Manage the travel and accommodation budget, ensuring efficient resource allocation.
- Provide regular reports on travel and accommodation expenses, cost savings, and compliance to senior management.
- Analyze travel data to identify cost-saving opportunities and trends.
Team Leadership:
- Lead, mentor, and develop a team of travel coordinators and support staff.
- Ensure the team is trained in travel management systems, visa regulations, and accommodation logistics.
- Set clear goals for the travel team and monitor their performance regularly.
Technology & Systems Management:
- Oversee the implementation and maintenance of travel management systems (TMS) for booking, visa tracking, and expense reporting.
- Stay current with emerging travel and accommodation management technologies to improve efficiency.
Compliance & Risk Management:
- Ensure that all travel and accommodation activities comply with internal policies and international regulations.
- Establish and maintain travel risk management protocols, including traveler safety and emergency response.
- Keep abreast of global health, safety, and security developments that may affect business travel.
Qualifications:
- Strong knowledge of visa regulations, processes, and requirements.
- Expertise in accommodation management and vendor negotiations.
- Proficiency in travel management systems and expense reporting tools.
- Excellent organizational and multitasking skills.

Pay: ₹22,000.00 - ₹30,000.00 per hour
