Job Description (JD): Administration Executive

Location: TTC, Khairane, A 148, MIDC Industrial Area, Navi Mumbai-400710, Maharashtra, India

Job Summary

We are looking for an organized and responsible Front Desk Cum Admin Executive to manage day-to-day office administration, facilities, vendors, banking activities and general office requirements, ensuring smooth and efficient office operations.

Key Responsibilities:

· Manage office supplies, stationery, printer consumables and inventory, including timely ordering.

· Handle courier, dispatch, correspondence, letters, emails and packages.

· Handle authorized banking activities including cash withdrawals, cheque deposits, bank guarantees and bond papers.

· Maintain petty cash records, bills, receipts and manual vouchers.

· Ensure proper office maintenance, including AC servicing, pest control, repairs and AMCs.

· Supervise housekeeping and security services to maintain a clean and safe workplace.

· Coordinate with vendors and service providers for office requirements and maintenance.

· Attend to clients, visitors and guests and manage seating arrangements.

· Coordinate ID cards, visiting cards, maintain records of laptops, SIM cards and mobile phones issued to employees.

· Coordinate food, seating and other arrangements for meetings and company events.

· Maintain office equipment, first-aid supplies and other essential facilities.

· Undertake local outdoor work such as bank, courier and vendor visits.

· Perform other administrative duties assigned by management.

Experience:

· 1–4 years of experience in administration, office management or a similar role.

· Experience in vendor coordination, facility management and banking-related work will be an advantage.

Skills & Competencies:

· Strong organizational, multitasking and time-management skills.

· Good front desk, telephone etiquette.

· Proficient in MS Word, MS Excel, email drafting and general computer operations.

· Written and verbal communication skills in English and Marathi.

· Willingness to handle local outdoor administrative work when required.

· Proficient in office management systems, procedures, and equipment (e.g., printers, fax machines).
