Full job description

Primary Role: Reception & Office Management.

Key Responsibilities:

Front Office & Visitor Experience:

· Ensure to Greet the visitors, clients, and guests professionally and promptly.

· Understand the purpose of the visit and guide visitors to the concerned department or employee.

· Inform concerned employees immediately about visitor arrivals.

· Offer basic hospitality to guests whenever required.

Front Desk Communication & Coordination:

Receive all incoming calls with proper telephone etiquette.
Answer calls politely and professionally.
Transfer calls to the appropriate department or employee.
Take complete messages when the concerned person is unavailable.
Handle general enquiries client queries and provide with best solution.
Ensure no important calls are missed.

Office Inventory Management:

Maintain inventory records for Pantry and stationary item.
Raise purchase requests whenever stock reaches at minimum levels.
Coordinate with vendors for inventory requirements.
Ensure availability of day-to-day office supplies.

Reception Area Maintenance:

· Maintain the decorum at the project to provide elite Sangini experience to the client.

· Ensure the reception area remains clean, relaxed, organized, and presentable.

Coordinate with housekeeping for cleanliness.
Ensure newspapers, magazines, brochures, visuals and company profile materials are properly managed.
Monitor reception décor and display materials as per the company standards.
Maintain all the emergency contacts at the reception desk.
Maintain patty cash for routine expenses with complete details records/bills.

Coordination with Internal Departments:

Coordinate with HR for employee related support/ guidance.
Coordinate with the Administration team for office maintenance.
Coordinate with Security regarding visitor entries.
Coordinate with Housekeeping to maintain reception & office standards.
Coordinate with IT for office IT support.
Forward enquiries to the concerned departments.
Maintain the routine vendor contact list and coordinate if and when required.

Grooming & Professional Conduct:

Maintain a neat, clean, and professional appearance.
Follow the company's grooming standards.
Display a pleasant personality and positive attitude.
Must be aware of company legacy and introduce the company with complete ownership and confidence.
Maintain confidentiality of company information.
Demonstrate professionalism in all interactions.
Be punctual and maintain excellent attendance.

Job Specifications:

· Good communication skills and fluent in Kannada, English and Hindi.

· Pleasant personality and professional appearance.

· Strong interpersonal and customer service skills.

· Basic knowledge of MS Office (Word, Excel, Outlook).

· Good organizational and time management skills.

· Ability to multitask and coordinate effectively.
