Full job description

We are looking for a highly organized and proactive Process Coordinator to manage the end-to-end coordination of customer orders and projects. The ideal candidate will ensure smooth communication between sales, warehouse, procurement, accounts, installers, and customers, ensuring every order is executed accurately and on time.

This role is ideal for someone who enjoys planning, follow-ups, multitasking, and keeping operations running efficiently.

Key Responsibilities

Coordinate the complete lifecycle of customer orders from confirmation to successful delivery and project closure.
Maintain regular communication with customers regarding order status, deliveries, and installation schedules.
Coordinate with the Sales, Warehouse, Procurement, Accounts, and Installation teams to ensure smooth execution.
Schedule deliveries and installations while ensuring timely completion.
Track project progress and proactively resolve delays or operational bottlenecks.
Maintain accurate documentation, including sales orders, purchase orders, delivery records, installation reports, and customer acknowledgements.
Update CRM and internal trackers with real-time order and project status.
Coordinate with vendors, transport partners, and installation teams to ensure material and manpower availability.
Follow up on pending approvals, payments, documentation, and project milestones.
Address customer queries and coordinate timely resolution of service requests.
Generate daily and weekly reports on project status, pending activities, delays, and completed orders.
Support management in improving operational efficiency and customer satisfaction.

Requirements

Bachelor's degree in any discipline.
1–3 years of experience in operations coordination, project coordination, customer support, CRM, or administration.
Experience in interiors, building materials, furniture, construction, retail, or related industries will be an advantage.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Ability to handle multiple tasks simultaneously and work under deadlines.
Good knowledge of Microsoft Excel, Google Sheets, and CRM software.
Strong problem-solving skills with keen attention to detail.
