About the Role
iApp Technologies LLP is looking for a Project Coordinator with 3–5 years of experience in software development or IT services. The ideal candidate should be capable of coordinating multiple mobile and web projects, managing timelines, communicating with clients, and ensuring smooth coordination between developers, designers, and QA teams.
This is a hands-on coordination role for someone who understands the software development lifecycle, Agile methodologies, sprint planning, QA cycles, and app/web release processes. You will work closely with internal teams and clients to keep projects on track, identify blockers, and ensure timely delivery.
Key Responsibilities
Project Execution
- Coordinate and track multiple mobile and web projects from kickoff through delivery and post-launch support.
- Break project requirements into milestones, sprints, and actionable tasks in coordination with technical teams.
- Maintain project trackers, timelines, resource allocation sheets, and risk logs.
- Conduct and coordinate daily stand-ups, sprint planning, retrospectives, and project review meetings.
- Track project progress, identify blockers, and follow up with respective team members for timely resolution.
- Ensure deliverables are completed within agreed timelines and scope.
Technical Coordination
- Understand project requirements and convert them into clear user stories, acceptance criteria, and task descriptions.
- Coordinate with developers regarding API dependencies, third-party integrations, technical requirements, and release schedules.
- Coordinate iOS and Android build/release activities, including TestFlight and Google Play Console submissions.
- Work with QA teams to coordinate testing, regression cycles, bug resolution, and release readiness.
- Maintain visibility of technical issues, dependencies, and technical debt alongside feature development.
- Understand software architecture and development workflows well enough to coordinate effectively with technical teams.
Pre-Sales & Estimation
- Support the sales team in understanding incoming project requirements and client needs.
- Assist in preparing project scope, effort estimates, timelines, proposals, and SOW inputs in coordination with developers and QA leads.
- Coordinate with technical teams to validate project feasibility, dependencies, and estimated timelines.
- Support requirement clarification during the pre-sales and estimation process.
Client & Stakeholder Management
- Act as the primary coordination point for assigned clients.
- Conduct client calls, provide project updates, and maintain regular communication.
- Prepare and share weekly project status reports.
- Understand client requirements and communicate them clearly to the development and design teams.
- Communicate technical constraints and project updates to clients in a clear and professional manner.
- Coordinate change requests and assess their impact on scope and timelines before communicating commitments.
- Maintain positive client relationships through proactive communication and follow-ups.
Team Coordination
- Coordinate cross-functional teams of developers, designers, and QA engineers.
- Follow up on task progress, dependencies, and pending deliverables.
- Coordinate workload and priorities with team leads based on project requirements.
- Identify capacity or resource-related concerns and escalate them to the appropriate manager.
- Ensure proper communication and handoffs between development, design, and QA teams.
- Support junior team members/coordinators with project tracking and documentation when required.
Process & Reporting
- Maintain project documentation, trackers, meeting notes, and delivery-related records.
- Prepare project health reports and dashboards for management.
- Track key delivery metrics such as milestone completion, delays, defects, and scope changes.
- Identify recurring project issues and suggest improvements to delivery processes.
- Participate in project post-mortems and help implement corrective actions.
- Ensure project documentation and reporting are maintained accurately and consistently.
Required Skills & Experience
- 3–5 years of experience in project coordination, project management, or delivery roles within an IT services/software development company.
- Experience coordinating 2–3 or more concurrent software projects.
- Good understanding of the software development lifecycle and project delivery processes.
- Basic technical understanding of APIs, integrations, application architecture, development workflows, and databases.
- Working knowledge of mobile app development and release cycles for iOS and Android.
- Familiarity with TestFlight, Google Play Console, beta testing, and app release processes.
- Hands-on experience with project management and collaboration tools such as Jira, ClickUp, Asana, Trello, Notion, Confluence, or Slack.
- Good understanding of Agile/Scrum methodologies and experience participating in or coordinating sprint ceremonies.
- Ability to create and maintain user flows, basic wireframes, and process flows to help teams understand complete user journeys, including edge cases and error scenarios.
- Strong communication and interpersonal skills with the ability to interact with clients and internal teams.
- Good written and verbal English communication skills.
- Strong follow-up and organizational skills with the ability to manage multiple priorities.
- Ability to identify project risks and blockers and escalate them proactively.
- Bachelor's degree in Computer Science, IT, Engineering, or equivalent practical experience.
Good to Have
- Experience working on mobile app or web development projects.
- PMP, CSM, PSM, or similar certification.
- Exposure to Firebase, analytics tools, ASO, or app growth metrics.
- Experience with fixed-bid and time-and-material project models.
- Basic understanding of QA processes, testing methodologies, and bug tracking.
- Experience working with distributed or offshore teams.
- Exposure to client handling and pre-sales activities.
- Basic understanding of UI/UX, wireframing, and user journey mapping.
What Success Looks Like
Within the first 90 days, the Project Coordinator should be able to:
- Independently coordinate assigned projects and maintain clear communication with clients and internal teams.
- Keep project trackers, timelines, and documentation accurate and up to date.
- Ensure committed milestones are actively tracked and potential delays are highlighted in advance.
- Coordinate effectively between development, design, and QA teams.
- Reduce communication gaps, missed follow-ups, and avoidable project delays.
- Contribute at least one practical improvement to the existing project coordination or delivery process.
