Full job description

JOB DESCRIPTION – JUNIOR MERCHANDISER

Department: Merchandising

Designation: Junior Merchandiser

Reporting To: Senior Merchandiser / Merchandising Manager

Location: Mumbai, Maharashtra

Industry: Merchandising / Apparel / Fashion / Lifestyle

1. JOB PURPOSE

To support the merchandising team in managing product development and order execution activities from initial enquiry/development through sampling, approvals, production follow-up and final delivery, while ensuring timely coordination with clients, vendors, suppliers and internal departments.

2. KEY RESPONSIBILITIES

A. Client / Buyer Coordination

Assist the Senior Merchandiser in handling day-to-day communication with clients/buyers.
Understand client requirements, product specifications, designs, quantities, timelines and quality expectations.
Prepare and share product details, quotations, sample updates and order status reports.
Follow up with clients for approvals, comments and confirmations.
Maintain proper records of client communication and approvals.

B. Product Development

Assist in developing new products/styles based on client requirements.
Coordinate with design, sourcing and vendor teams for product development.
Source appropriate fabrics, materials, trims, accessories and packaging as required.
Coordinate development of prototypes and samples.
Maintain sample trackers and ensure timely submission of samples.
Incorporate client comments and coordinate revisions until final approval.

C. Costing & Commercial Coordination

Assist in preparing product costing and quotations.
Obtain and compare quotations from suppliers/vendors.
Coordinate with the sourcing and finance teams regarding commercial requirements.
Assist in maintaining costing sheets and approved price records.
Ensure that changes in specifications or materials are appropriately reflected in costing.

D. Order Management

Assist in processing confirmed orders and purchase orders.
Prepare order sheets containing quantity, specifications, delivery dates and other relevant details.
Maintain order trackers and update order status regularly.
Monitor order timelines and proactively follow up on pending activities.
Escalate delays or issues to the Senior Merchandiser/Manager.

E. Vendor & Supplier Coordination

Coordinate with vendors, manufacturers, suppliers and job workers for order execution.
Follow up on raw materials, fabrics, trims, accessories and production schedules.
Obtain regular production updates from vendors.
Coordinate with vendors to ensure adherence to approved samples and specifications.
Support the Senior Merchandiser in resolving vendor-related issues.

F. Quality Coordination

Coordinate with the Quality team/vendor to ensure products conform to approved samples and client specifications.
Follow up on quality issues, corrections and rework.
Ensure client comments are communicated accurately to vendors and production teams.
Assist in maintaining quality-related records and inspection reports.

G. Delivery & Dispatch Coordination

Monitor order readiness and dispatch schedules.
Coordinate with logistics/dispatch teams and vendors for timely deliveries.
Ensure quantities, packing requirements, labels and documentation are as per client requirements.
Track dispatches and maintain delivery records.
Immediately highlight potential delivery delays to the reporting manager.

H. MIS & Documentation

Maintain accurate merchandising records and order files.
Update daily/weekly order status reports and merchandising MIS.
Maintain records of:

o Purchase Orders

o Costing Sheets

o Sample Approvals

o Client Comments

o Vendor Quotations

o Order Trackers

o Production Updates

o Quality Reports

o Dispatch Details

Ensure all documentation is updated and readily accessible.

4. SKILLS & COMPETENCIES

Excellent follow-up and coordination skills.
Good verbal and written communication.
Strong attention to detail.
Good understanding of merchandising and product development.
Ability to coordinate with multiple vendors and stakeholders.
Good negotiation and interpersonal skills.
Strong time-management and organisational skills.
Ability to work under pressure and meet deadlines.
Problem-solving and proactive approach.
Good knowledge of MS Excel, Word, PowerPoint and email communication.
Knowledge of ERP/software used for merchandising and order management will be an advantage.

5. QUALIFICATION

Graduate in any discipline. Preference may be given to candidates with qualifications in:

Fashion Merchandising
Fashion Design
Textile
Apparel Production
Garment Technology
Supply Chain / Business Management

6. EXPERIENCE: 1–2 years of experience in merchandising, product development, sourcing, buying house, fashion, apparel, lifestyle or a related industry.
