Full job description

Office Executive cum Transport Assistant

Key Responsibilities 1. Office Administration Handle day-to-day office administrative activities and documentation. Maintain files, registers, records and correspondence. Prepare letters, notices, reports and basic MIS as required. Coordinate with various departments for administrative requirements. Handle office-related follow-ups and ensure timely completion of assigned tasks. Support meetings, events and other university activities. 2. Transport Coordination Coordinate daily university transport operations and vehicle schedules. Prepare and maintain vehicle allocation and duty schedules. Coordinate with drivers regarding routes, timings, duty assignments and reporting. Monitor vehicle movement and ensure timely reporting of vehicles. Coordinate transport requirements for faculty, staff, students and official guests. Maintain records of vehicle usage, fuel, mileage, maintenance and repair. 3. Driver & Vehicle Management Maintain updated records of all university vehicles and drivers. Check validity of driving licences, vehicle documents, insurance, permits and fitness certificates. Coordinate preventive maintenance and servicing of vehicles. Report vehicle breakdowns, accidents or other transport-related issues immediately to the concerned authority. Ensure vehicles are clean, safe and available as per schedule. 4. Attendance & Compliance Monitor driver attendance and duty records. Coordinate with outsourced transport personnel/agencies wherever applicable. Ensure drivers follow university rules, safety guidelines and prescribed routes. Maintain proper documentation for outsourced transport staff. 5. MIS & Reporting Prepare daily/weekly/monthly transport reports. Maintain records of fuel consumption, kilometres travelled, vehicle maintenance and expenses. Submit transport-related reports to the reporting authority. Maintain accurate records for audit and administrative purposes. Required Qualifications Graduate in any discipline. Diploma/Certificate in Office Administration or Transport Management will be an advantage. Basic knowledge of MS Office, Excel, email and ERP systems. Experience 2–5 years of experience in office administration, transport coordination, facility management or a similar role. Experience in an educational institution, corporate office or large organization will be preferred. Key Skills Good communication and coordination skills. Good knowledge of MS Excel and documentation. Strong follow-up and organizational abilities. Ability to manage multiple tasks simultaneously. Basic knowledge of vehicle maintenance and transport operations. Problem-solving and crisis-management skills. Ability to coordinate with drivers, vendors and university departments. Professional and disciplined approach.

6. Student Interaction & Query Window Management Manage the designated Student Query/Help Desk Window and ensure courteous and timely assistance to students. Receive, understand and appropriately respond to routine student queries related to transport, administration and other assigned services. Coordinate with concerned departments for resolution of student grievances and queries. Maintain a Student Query/Complaint Register with details of the query, date, concerned department and resolution status. Ensure unresolved or sensitive matters are escalated to the concerned authority within the prescribed timeline. Provide students with accurate information regarding bus routes, timings, pickup/drop points, transport facilities and related procedures. Coordinate with transport staff/drivers regarding student transport-related issues. Maintain professional, polite and student-friendly communication at all times. Monitor frequently raised student queries and report recurring issues to the reporting authority for corrective action. Ensure the student query window is properly managed during designated working hours and that students are not left unattended.

Pay: ₹15,000.00 - ₹25,000.00 per month
