Job Profile – Personal Assistant to Director Company

Shivansh Logistics Private Limited

Position : Personal Assistant (PA) to Director

Location : Noida, Uttar Pradesh – 201301

Reporting To : CEO

Employment Type : Full-Time

Position Overview

We are seeking a smart, confident, and highly organized Personal Assistant to provide comprehensive administrative and executive support to the Director. The ideal candidate should possess excellent communication skills in both Hindi and English, be professional in appearance and conduct, and be comfortable coordinating business meetings, travel schedules, and day-to-day executive activities.

This role requires a proactive personality, strong interpersonal skills, confidentiality, and the ability to work closely with senior management.

Key Responsibilities Executive Support

Manage the Director's daily schedule, appointments, and meetings.
Organize calendars and ensure effective time management.
Prepare meeting agendas, MOMs (Minutes of Meeting), and follow-up actions.
Handle confidential documents and business information with discretion.

Communication & Coordination

Manage calls, emails, WhatsApp communications, and correspondence on behalf of the Director.
Draft professional emails, letters, and business communications in English and Hindi.
Coordinate with clients, vendors, employees, and business associates.
Act as a communication bridge between the Director and internal departments.

Travel & Event Management

Arrange domestic and outstation travel, including flights, hotels, transportation, and itineraries.
Accompany the Director on business travel whenever required.
Coordinate meetings, conferences, exhibitions, and corporate events.

Administrative Responsibilities

Maintain records, reports, presentations, and important documents.
Track pending tasks and ensure timely completion of commitments.
Prepare business presentations, reports, and management summaries.
Assist in organizing official visits and client meetings.

Educational Qualification

Minimum Qualification : Graduate in any discipline.

Preferred Qualification : MBA, BBA, B.Com, BA, Executive Assistant, Administration, or related fields.

Skills RequiredCommunication Skills

Excellent verbal and written communication in Hindi and English.
Strong drafting and correspondence skills.
Pleasant, professional, and confident personality.

Professional Skills

Strong organizational and multitasking abilities.
Good knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and professionalism.
Excellent follow-up and coordination skills.

Personal Attributes

Well-groomed and professionally presented.
Friendly, courteous, and relationship-oriented.
Positive attitude and solution-focused approach.
Ability to work under pressure and handle multiple priorities.
Flexible for extended work hours and business travel whenever required.

Experience

Preferred : 1–5 years of experience as Personal Assistant, Executive Assistant, Coordinator, Front Office Executive, or Administrative Executive.

Exceptional fresh graduates with strong communication and presentation skills may also apply.

Compensation & BenefitsFixed Salary : ₹25,000 – ₹50,000 per month
(Depending upon experience, communication skills, and suitability)
