Full job description

Executive Assistant to Managing Partner / Partner

We are looking for a responsible, organised and proactive Executive Assistant to support the Managing Partner and Partner in their day-to-day professional activities. The role requires strong coordination, communication and follow-up skills, along with the ability to handle confidential information with discretion.

The Executive Assistant will act as a key coordination point between the partners, employees, clients, consultants and external professionals. The role will involve managing communications, meetings, documents and important follow-ups.

Key Responsibilities

Coordinate meetings with clients, employees, consultants and other stakeholders.
Monitor emails, messages and other communications and bring important matters to the attention of the partners.
Prepare meeting agendas, take notes and follow up on decisions and action items.
Draft and format emails, letters, reports, presentations and other business documents.
Maintain proper records of documents, correspondence, client information and pending matters.
Follow up with employees and professional teams regarding assigned work and deadlines.
Conduct basic research and compile information relating to business, legal, financial and regulatory matters.
Support general office administration and ensure smooth coordination between different teams and offices.
Perform other reasonable administrative and coordination responsibilities assigned by the partners.

Candidate Requirements

Graduate in any discipline. Candidates with qualifications in commerce, business administration, management, law or a related field will be preferred.
Previous experience as an Executive Assistant, Personal Assistant, Office Coordinator or in a similar role is desirable.
Excellent written and verbal communication skills in English.
Good working knowledge of Microsoft Word, Excel, PowerPoint, email and online meeting platforms.
Strong organisational, time-management and follow-up skills.
Ability to prioritise multiple assignments and work with minimal supervision.
Professional attitude and confidence in communicating with senior professionals and clients.
High level of confidentiality, integrity and attention to detail.
Willingness to learn about corporate, legal, financial and regulatory matters.
Ability to communicate in Malayalam and Hindi will be an added advantage.

About the Role

This is a responsible position offering direct exposure to senior-level business, legal, corporate and financial matters. Appropriate guidance and training will be provided. The candidate should be dependable, adaptable and willing to take ownership of assignments and follow-ups.
