About the Company

Skynet Electronics Private Limited is a growing organization committed to delivering operational excellence through efficient infrastructure and workplace management.
As part of our expansion, we are looking for a proactive and resourceful Admin & Facilities Executive who can effectively manage office administration, facility operations, vendor coordination, and office infrastructure projects, including our upcoming office relocation.

This role is ideal for candidates who enjoy field-based coordination, problem-solving, and ensuring smooth day-to-day facility operations.

Job Summary

We are seeking a highly organised, hands-on, and field-oriented Admin & Facilities Executive to oversee office administration, facility maintenance, infrastructure coordination, and vendor management. The selected candidate will play a key role in supporting the company's office relocation project while ensuring the smooth functioning of daily administrative and facility-related operations.

The ideal candidate should possess practical knowledge of office maintenance, civil and electrical works, office interiors, vendor management, and workplace infrastructure. The role requires frequent travel within Bengaluru for property inspections, vendor meetings, site supervision, and coordination with contractors.

Candidates who are proactive, detail-oriented, and capable of independently managing multiple facility-related tasks are encouraged to apply.

Key Responsibilities:
Office Relocation & Infrastructure Coordination

Assist the HR and Administration team in identifying and evaluating suitable office spaces based on operational requirements.
Visit shortlisted commercial properties to assess space utilization, accessibility, infrastructure, safety standards, electrical fittings, plumbing, civil condition, parking, and overall suitability.
Coordinate with landlords, property consultants, brokers, and building management throughout the office leasing and relocation process.
Support planning and execution of office shifting activities, including seating arrangements, workstation planning, furniture movement, utility setup, and infrastructure readiness.
Ensure all relocation activities are completed efficiently with minimal disruption to business operations.

Facility Management & Office Maintenance

Monitor day-to-day office facility operations to ensure a safe, clean, and well-maintained workplace.
Coordinate preventive and corrective maintenance for office infrastructure and equipment.
Handle maintenance requests related to:
Electrical systems
Lighting and power points
Air conditioning systems
Plumbing
Carpentry
Painting
Civil repairs
Office furniture
Partitions and interiors
Ensure timely resolution of infrastructure issues to maintain uninterrupted office operations.
Conduct regular inspections to identify maintenance requirements and recommend improvements.

Civil, Electrical & Interior Work Coordination

Coordinate with contractors and service providers for civil modifications, electrical installations, renovation projects, office fit-outs, and interior improvements.
Arrange site inspections and obtain quotations from multiple vendors.
Compare pricing, timelines, and quality before recommending vendors.
Supervise ongoing work to ensure compliance with company requirements and agreed timelines.
Verify completed work before vendor payments and report project completion to management.

Vendor & Contractor Management

Build and maintain relationships with reliable local vendors including:
Electricians
Civil contractors
Carpenters
Plumbers
Painters
Interior contractors
Movers and Packers
Internet & Utility Service Providers
Obtain competitive quotations and negotiate cost-effective commercial terms.
Ensure vendors understand project requirements clearly before work commencement.
Track vendor performance, service quality, and project completion timelines.
Maintain service contracts, AMC records, and vendor databases.

Administration & Office Operations

Support daily office administration and workplace management activities.
Maintain office assets, inventory records, and facility documentation.
Manage infrastructure-related purchases and coordinate with procurement when required.
Maintain records of:
Vendor quotations
Purchase orders
Invoices
Service reports
Maintenance schedules
Asset movement
Coordinate utility services including electricity, internet, housekeeping, and office consumables.
Ensure workplace readiness for employees and visitors at all times.

Site Visits & Field Coordination

Travel regularly across Bengaluru for:
Office inspections
Vendor meetings
Property evaluations
Material procurement
Site supervision
Monitor ongoing projects and provide regular status updates to management.
Resolve site-level issues through effective coordination with vendors and stakeholders.
Ensure projects are completed safely, efficiently, and within agreed timelines.

Compliance & Safety

Ensure office infrastructure complies with workplace safety standards.
Monitor vendor adherence to safety guidelines during maintenance and renovation work.
Report any facility-related risks or safety concerns to management promptly.
Assist in implementing workplace maintenance best practices.

Required Qualifications

Minimum Qualification: 12th Pass.
Diploma/ITI/Bachelor's Degree in Civil Engineering, Electrical Engineering, Facility Management, Construction Management, or any related discipline will be an added advantage.

Experience

1–3 years of experience in:
Administration
Facility Management
Office Operations
Civil Site Coordination
Electrical Maintenance

Office Infrastructure

Experience in office relocation or commercial interior projects will be preferred.

Required Skills:

Good understanding of office administration and facility operations.
Practical knowledge of civil, electrical, plumbing, carpentry, and interior works.
Ability to interpret basic office layouts and infrastructure requirements.
Strong vendor management and negotiation skills.
Excellent coordination and follow-up abilities.
Strong problem-solving and decision-making skills.
Good documentation and reporting skills.
Ability to work independently with minimal supervision.
Comfortable with extensive local travel within Bengaluru.
Basic knowledge of MS Office (Excel, Word, Outlook).

Language Requirements

Good communication skills in English.
Proficiency in Kannada is preferred.
Knowledge of Hindi, Tamil, and Telugu will be an added advantage.
