About the Role

We are looking for a highly dedicated, responsible, confident, and well-organized Team Handling & Administration Executive who can independently manage administrative operations while effectively handling and coordinating with a large team.

The candidate will be primarily responsible for team management, task allocation, follow-ups, administrative operations, coordination with different offices, and supporting management in maintaining smooth day-to-day operations.

The ideal candidate should be a fast learner, highly responsive, proactive, and comfortable taking ownership of responsibilities. The person should be available for work-related communication over calls whenever required, including during leave days, particularly for urgent or operational matters.

The candidate should also be comfortable travelling to different cities/offices when required.

Candidates with legal/law-firm experience or basic knowledge of legal processes will be preferred.

Key Responsibilities Team Handling & Coordination

Handle and coordinate with a large team on a daily basis.
Allocate, monitor, and follow up on tasks assigned to team members.
Track daily work, pending tasks, deadlines, and overall team progress.
Ensure that assigned tasks are completed accurately and within timelines.
Act as a key coordination point between management and team members.
Conduct regular follow-ups with team members and provide timely updates to management.
Identify delays, performance issues, or operational concerns and escalate them appropriately.
Maintain discipline, accountability, coordination, and smooth workflow within the team.
Ensure that management instructions are communicated and implemented properly.
Assist in resolving day-to-day team coordination and operational issues.

Administrative Responsibilities

Manage day-to-day office administration and operational activities.
Maintain employee, office, and administrative records.
Handle files, documents, registers, reports, and other office records.
Coordinate office requirements, inventory, supplies, and facilities.
Coordinate with different departments, teams, and branch offices.
Assist management with operational, administrative, and coordination-related assignments.
Ensure that office processes, policies, and instructions are followed properly.
Monitor routine administrative activities and ensure timely completion of assigned responsibilities.

Travel & Multi-City Coordination

Be willing to travel to different cities and branch offices whenever required for work.
Coordinate with teams working across different locations.
Assist management during branch visits, meetings, audits, and operational activities.
Maintain effective communication with employees and teams across locations.

Availability & Responsiveness

Must be highly responsive and available over phone calls for work-related requirements.
Should remain reachable for urgent or important work-related matters even during leave days.
Must be willing to provide necessary updates or support remotely when required.
Should demonstrate a strong sense of responsibility and ownership towards assigned work.

Required Skills & Experience

Minimum 1 year of relevant Administration experience is mandatory.
Previous experience in team handling, team coordination, operations, or a Team Leader role is highly preferred.
Proven ability to handle and coordinate with a large team.
Strong task management, follow-up, delegation, and coordination skills.
Excellent verbal and written communication skills.
Hindi communication is mandatory; good English communication is preferred.
Basic to good knowledge of MS Excel and MS Word.
Ability to manage multiple responsibilities and work under deadlines.
Strong organizational and problem-solving abilities.
Highly dedicated and hardworking, with a strong sense of responsibility.
Fast learner who can quickly understand new processes, systems, and instructions.
Proactive attitude with the ability to take initiative.
Professional attitude with a confident personality and presentable appearance.
Comfortable working in a structured, process-driven, and target-oriented environment.
Willing to work from office and travel whenever required.
Comfortable handling work-related calls and coordination beyond normal office hours when necessary.

Preferred Qualifications

Candidates with legal/law-firm experience or basic knowledge of legal processes will be preferred.
Experience as a Team Leader, Admin Executive, Operations Executive, Office Coordinator, or similar team-handling role will be an advantage.
Candidates with experience handling a large team or multiple branch offices will be preferred.
Candidates who can join immediately will be strongly preferred.

Working Hours

Monday to Friday: 10:00 AM – 7:00 PM
Saturday: 10:00 AM – 5:00 PM

Additional Working Hours

On certain days, depending on business and operational requirements, the candidate may be required to work beyond regular office hours.

Overtime will be paid for approved work performed beyond regular working hours.

If the candidate is required to work on Sunday, the applicable day's payment will be included in the salary.

Pay: ₹10,500.00 - ₹25,000.00 per month
