Job Description

Roles & Responsibilities – Admin Manager

1. Facility & Infrastructure Management

Oversee complete administration of plant/office infrastructure.
Ensure proper maintenance of buildings, utilities, workspaces, and common areas.
Coordinate with vendors for AMC (Annual Maintenance Contracts) of facility equipment.
Ensure compliance with statutory and safety norms.

2. Front Office & Reception Management

Supervise reception and front desk operations.
Ensure professional handling of visitors, clients, and internal staff.
Maintain visitor management system and access control protocols.
Ensure proper communication flow across departments.

3. Security Management

Manage plant security operations including manpower deployment.
Ensure strict access control, ID verification, and material movement control.
Monitor CCTV surveillance systems and ensure 24/7 security coverage.
Conduct periodic security audits and risk assessments.

4. Transportation & Logistics Coordination

Manage employee transportation (buses, cabs, shift movement).
Ensure route planning, safety, and timely availability of vehicles.
Coordinate with transport vendors and monitor performance.
Handle logistics for official travel and guest movement.

5. Housekeeping & Workplace Management

Ensure high standards of cleanliness and hygiene across plant and office.
Manage housekeeping staff and contracts.
Implement 5S and workplace organization practices.
Conduct regular audits for cleanliness and compliance.

6. Cafeteria & Employee Welfare

Oversee cafeteria operations, food quality, and hygiene.
Ensure vendor compliance with FSSAI and safety standards.
Support employee welfare initiatives (rest areas, drinking water, sanitation).
Address employee grievances related to admin services.

7. Vendor & Contract Management

Identify, onboard, and manage admin-related vendors (security, housekeeping, transport).
Negotiate contracts, control costs, and ensure SLA adherence.
Track vendor performance and compliance.

8. Compliance & Statutory Requirements

Ensure compliance with local laws, factory regulations, and labor laws.
Maintain records for audits (internal & external).
Liaise with government authorities when required.

9. Asset & Inventory Management

Manage office assets, furniture, and administrative inventory.
Track asset movement, maintenance, and lifecycle.
Ensure proper documentation and control systems.

10. Budgeting & Cost Control

Prepare and manage admin budgets.
Monitor expenses and optimize operational costs.
Implement cost-saving initiatives without compromising quality.

11. Event & Meeting Coordination

Organize company events, meetings, and visits.
Manage conference rooms, logistics, and hospitality.
Support leadership visits and customer audits.

12. Emergency & Crisis Management

Handle emergency situations (fire, medical, evacuation).
Ensure emergency response systems and drills are in place.
Coordinate with EHS team for safety compliance.

13. Team Management & Leadership

Lead and manage admin team including reception, security, and support staff.
Provide training and performance management.
Ensure discipline, grooming, and service quality standards.
