Job Title: Executive Assistant (Accounts & Administration)

Job Summary

We are looking for a highly organized, detail-oriented, and proactive Executive Assistant (Accounts & Administration) to support the CEO in managing day-to-day operations, scheduling, communication, and business coordination. The ideal candidate should be precise, trustworthy, and capable of handling confidential information while also possessing a strong understanding of accounting and financial records. This role requires someone who can efficiently manage executive responsibilities alongside assisting with accounting and administrative functions.

Responsibilities

Executive Support

Manage the CEO's calendar, meetings, appointments, travel arrangements, and daily schedules while ensuring smooth coordination of priorities.

Administrative Coordination

Handle business correspondence, prepare reports, maintain documentation, organize files, and coordinate with internal teams and external stakeholders.

Task & Project Management

Track ongoing tasks, follow up with departments, ensure timely completion of assignments, and assist the CEO in executing strategic and operational initiatives.

Accounts & Financial Assistance

Maintain financial records, process invoices, manage expense reports, assist in bookkeeping, prepare financial documentation, and coordinate with the finance team or CA when required.

Documentation & Record Keeping

Maintain confidential company records, contracts, invoices, and important business documents with accuracy and proper organization.

Communication & Coordination

Act as a point of contact between the CEO, employees, clients, vendors, and business partners while ensuring professional communication.

Required Skills & Qualifications

Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Knowledge of basic accounting, bookkeeping, and financial documentation.
Proficiency in MS Excel, MS Word, Google Workspace, and office management tools.
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information.
Strong problem-solving abilities and multitasking skills.
Ability to work independently and manage priorities effectively.

Preferred Qualifications

Bachelor's degree in Commerce (B.Com), Business Administration, Accounting, Finance, or a related field.
Prior experience as an Executive Assistant, Administrative Executive, Office Coordinator, or Accountant.
Familiarity with accounting software such as Tally, Zoho Books, or QuickBooks.
Experience in preparing reports, invoices, expense statements, and financial records.
Knowledge of AI productivity tools and automation platforms is an added advantage.
