Full job description

1. Position Overview

We are looking for a highly organised, presentable, proactive and responsible professional to manage the front desk, day-to-day administration, and executive assistance to the CEO.

The role requires excellent communication skills, professional etiquette, confidentiality, multitasking ability and strong follow-up skills. The candidate will act as the first point of contact for visitors and callers while also ensuring smooth administrative support to the CEO and management.

2. Key Responsibilities

A. Front Desk & Reception

Welcome and professionally assist clients, visitors and business associates.
Manage incoming calls, messages and enquiries and direct them appropriately.
Maintain visitor records and ensure proper visitor coordination.
Coordinate meetings, appointments and refreshments for visitors.
Maintain a professional and welcoming reception area.
Handle courier, postal and document receiving/distribution.

B. Administration

Manage routine office administration and coordination.
Maintain office records, registers, files and important documents.
Coordinate with housekeeping, office support staff, vendors and service providers.
Monitor office stationery, pantry and administrative requirements.
Coordinate office maintenance, repairs and service requirements.
Assist HR/Admin in maintaining attendance, employee records and other administrative documentation.
Prepare basic reports, trackers, MIS and administrative statements.
Follow up with internal teams and external vendors on pending administrative matters.

C. Executive Assistant to CEO

Manage the CEO's calendar, appointments and meetings.
Schedule and coordinate internal and external meetings.
Prepare meeting agendas, documents and presentations as required.
Maintain a daily/weekly schedule and ensure timely follow-ups.
Take meeting notes, prepare MOMs and follow up on assigned action points.
Coordinate with various departments on behalf of the CEO.
Track important deadlines, commitments and pending matters.
Assist the CEO with travel arrangements, hotel bookings, meeting logistics and related coordination.
Handle confidential information and documents with complete discretion.
Screen and prioritise routine communication, calls and requests for the CEO.
Ensure that important instructions given by the CEO are properly communicated and followed up.

3. Coordination & Follow-Up

Act as a coordination bridge between the CEO, management and internal teams.
Ensure important instructions and action points are followed through to completion.
Maintain follow-up trackers for CEO-related tasks.
Coordinate with clients, consultants, vendors and other stakeholders whenever required.
Escalate urgent or sensitive matters to the CEO/management promptly.

4. Required Skills & Competencies

Excellent follow-up and coordination abilities.
High level of confidentiality and discretion.

5. Technical Skills

MS Office – Word, Excel and PowerPoint.
Google Workspace – Gmail, Drive, Calendar and Google Sheets.
Good email drafting and professional correspondence skills.
Basic knowledge of preparing reports, trackers and presentations.
Familiarity with WhatsApp Business and online meeting platforms.

6. Preferred Qualifications & Experience

Graduate in any discipline.
2–5 years of experience in Front Office, Administration, Executive Assistant, Personal Assistant or a similar role.
Experience supporting a senior executive, CEO, Director or business owner will be an advantage.

Pay: ₹18,000.00 - ₹35,000.00 per month
