HR EXECUTIVE — i'Deli Cafe

We are looking for an organised, proactive, and people-focused HR Executive to support the day-to-day HR operations of i'Deli Cafe, ensuring smooth employee administration, recruitment, onboarding, attendance, engagement, and HR coordination across our outlets.
The role requires strong communication skills, attention to detail, confidentiality, and the ability to work closely with employees, outlet managers, and senior management.
Recruitment & Hiring
- Support the HR Manager in managing day-to-day recruitment activities.
- Coordinate job postings, candidate sourcing, screening, and interview schedules.
- Communicate with candidates throughout the recruitment process.
- Maintain an updated database of potential candidates.
- Coordinate interview arrangements with department heads and outlet managers.
- Prepare recruitment reports and track open positions.
- Support urgent manpower requirements across outlets.
Employee Onboarding
- Coordinate joining formalities and employee documentation.
- Collect and verify required employee documents.
- Prepare employee files and HR records.
- Coordinate induction and orientation for new employees.
- Explain company policies, workplace standards, attendance procedures, and basic HR processes to new employees.
- Ensure new employees are properly registered in HR and attendance systems.
HR Administration
- Maintain accurate and updated employee records.
- Manage employee files, documentation, and HR databases.
- Process employee joining, confirmation, transfer, promotion, and exit documentation.
- Prepare HR letters and certificates as required.
- Maintain proper records of employee movements and status changes.
- Assist the HR Manager with day-to-day administrative requirements.
Attendance & Leave Management
- Monitor daily employee attendance across outlets.
- Track late arrivals, absences, leave, and overtime.
- Coordinate with outlet managers regarding attendance discrepancies.
- Maintain accurate leave records.
- Prepare monthly attendance reports for payroll processing.
- Follow up on attendance-related concerns with employees and managers.
Payroll Support
- Collect and verify monthly payroll inputs.
- Coordinate attendance, overtime, incentives, deductions, leave, and other relevant information.
- Share accurate payroll data with the HR Manager and accounts/finance team.
- Assist in identifying and resolving payroll discrepancies.
- Maintain proper payroll-related documentation.
Employee Relations
- Maintain positive communication with employees across outlets.
- Assist employees with routine HR queries and concerns.
- Escalate employee grievances and sensitive matters to the HR Manager.
- Support the resolution of workplace issues in a professional manner.
- Maintain confidentiality when handling employee information.
Training & Development
- Coordinate employee training programmes and sessions.
- Maintain training schedules and attendance records.
- Support induction, service training, grooming, workplace standards, and other employee development programmes.
- Coordinate with outlet managers regarding training requirements.
- Maintain updated employee training records.
Employee Engagement
- Support HR initiatives designed to improve employee engagement and retention.
- Assist in organising employee activities, celebrations, recognition programmes, and team-building initiatives.
- Collect employee feedback and share relevant observations with the HR Manager.
- Promote a positive, respectful, and professional workplace culture.
HR Policies & Compliance
- Ensure employees are aware of and follow company HR policies and procedures.
- Support the implementation of HR policies across outlets.
- Maintain required HR documentation and records.
- Assist the HR Manager with employee disciplinary and compliance processes.
- Maintain confidentiality and professionalism in all HR matters.
Outlet HR Support
- Regularly coordinate with outlet managers regarding staffing and employee requirements.
- Monitor manpower availability and highlight shortages.
- Support new employee joining and deployment across outlets.
- Visit outlets when required to understand employee and HR requirements.
- Ensure HR policies and processes are consistently followed across locations.
New Outlet Opening
- Support recruitment and onboarding for new outlet teams.
- Coordinate interviews, documentation, joining, and induction.
- Assist with pre-opening training and employee deployment.
- Help ensure the new outlet is adequately staffed before launch.
- Support the HR Manager in establishing HR processes for new outlets.
Reporting & Documentation
- Prepare daily, weekly, and monthly HR reports as required.
- Maintain recruitment, attendance, leave, training, and employee records.
- Track vacancies and recruitment progress.
- Maintain accurate HR databases and documentation.
- Provide timely information to the HR Manager and management team.
The Person We Are Looking For

Experience
- 2–4 years of experience in Human Resources preferred.
- Previous experience as an HR Executive, HR Coordinator, HR Officer, or similar role preferred.
- Experience in restaurants, cafés, hotels, hospitality, retail, QSR, or other frontline service businesses is an advantage.
- Experience in recruitment and new outlet openings will be an added advantage.
Education
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field preferred.
- MBA/PG Diploma in Human Resources will be an advantage.
- Relevant HR experience and demonstrated ability may also be considered.
