Onboarding Manager – Real Estate
Join one of Ontario’s most dynamic and high-performing real estate teams.
At Aspire Group, we believe in building long-term relationships, not just completing transactions. Our growing team helps families achieve their real estate goals across the GTA and surrounding markets while creating an environment where real estate professionals can learn, grow, and build sustainable careers.
We are looking for a confident, organized, and results-driven Onboarding Manager to lead the successful launch, training, development, and early production of newly onboarded real estate agents.
This is not simply an administrative onboarding role.
The Onboarding Manager will act as an educator, coach, problem-solver, and accountability leader—helping new agents develop the knowledge, habits, confidence, and practical skills required to succeed in today’s real estate market.
From an agent’s first day through independent production, you will ensure they understand exactly what to do, how to do it, and what is expected of them.
Key Responsibilities
Training and Education
- Guide agents through the team’s onboarding and training program using Trainual and internal systems
- Teach agents the complete lifecycle of a real estate transaction, from initial client contact through closing
- Train agents to prepare accurate comparative market analyses and property evaluations
- Teach agents how to write strong offers and understand agreements, clauses, conditions, and contracts
- Develop agents’ understanding of negotiation fundamentals and real-world deal strategy
- Educate agents on local market practices, industry standards, compliance, and professional conduct
- Ensure agents can confidently follow the team’s systems, processes, and best practices
Agent Skill Development
- Help agents establish daily habits that lead to long-term production
- Build structured prospecting, lead follow-up, time-blocking, and prioritization routines
- Coach agents on phone skills, scripts, client conversations, and appointment setting
- Conduct role-play sessions covering objections, buyer consultations, listing conversations, follow-up, and negotiations
- Help agents turn theoretical training into confident real-world execution
Accountability and Performance Management
- Hold agents accountable to defined activity, training, and production expectations
- Track onboarding progress, milestone completion, lead follow-up, appointments, and individual goals
- Identify performance gaps early and create clear improvement plans
- Provide direct, constructive feedback and proactively course-correct when agents fall behind
- Push agents toward benchmarks that align with the team’s standards and expectations
Agent Support and Problem-Solving
- Serve as the primary point of contact for agents during their onboarding and ramp-up period
- Provide practical guidance on scripts, contracts, transaction steps, client situations, and deal-related questions
- Help agents understand how to proceed when they encounter unfamiliar real estate scenarios
- Ensure every agent has clarity, direction, and a defined next step
- Reduce avoidable errors, delays, confusion, and stalled transactions
Leadership and Team Culture
- Reinforce the team’s standards for professionalism, communication, responsiveness, and client service
- Build confidence, ownership, discipline, and independence in each agent
- Create an onboarding experience that is structured, supportive, and performance-focused
- Act as a trusted leader who supports agents while also challenging them to improve
- Help develop newly licensed or developing agents into competent, productive, and accountable real estate professionals
What Success Looks Like
- Agents complete onboarding within the required timelines
- Agents demonstrate competency across core real estate skills and team systems
- Agents consistently complete required prospecting and follow-up activities
- Agents begin generating appointments, opportunities, and transactions
- Fewer contract errors, missed steps, and stalled deals
- Strong agent engagement, confidence, accountability, and retention
- Agents transition successfully from supervised onboarding to independent production
Ideal Candidate
- Strong knowledge of Ontario real estate transactions, contracts, and industry practices
- Previous experience in real estate sales, agent training, coaching, team leadership, or brokerage operations
- Excellent communication, teaching, and problem-solving abilities
- Comfortable holding people accountable and having direct performance conversations
- Highly organized and able to manage multiple agents, milestones, and priorities
- Confident conducting role-plays, reviewing contracts, and coaching live client situations
- Proactive, resourceful, patient, and solutions-oriented
- Strong understanding of prospecting, lead conversion, follow-up systems, and agent productivity
- Able to balance encouragement and support with high standards and accountability
- Experience with Trainual, CRM platforms, transaction systems, or real estate technology is an asset
