Role Overview

We are looking for an experienced and responsible Finance & Accounts Manager to manage the financial operations of our pre-school. The candidate will be responsible for maintaining accurate accounts, monitoring fee collections and expenses, managing payroll, preparing financial reports, and ensuring proper financial documentation and compliance.

Key Responsibilities

1. Fee Collection & Receivables

Monitor monthly school fee collections and outstanding payments.
Maintain student fee records and follow up on pending payments.
Reconcile fee collections with bank/cash transactions.
Prepare daily/monthly collection reports.
Coordinate with the school administration regarding fee-related queries.

2. Accounts & Bookkeeping

Maintain day-to-day accounting records and financial transactions.
Record income, expenses, purchases, and payments accurately.
Maintain cash book, bank book, ledgers, and vouchers.
Perform regular bank and cash reconciliations.
Ensure all financial documents are properly filed and maintained.

3. Payroll & Employee Payments

Prepare monthly salary/payroll for teachers and staff.
Track attendance, leave, deductions, advances, and incentives.
Ensure salaries are processed accurately and on time.
Maintain employee payment records.

4. Expense & Vendor Management

Monitor school expenses and maintain expense records.
Verify bills, invoices, and supporting documents before payment.
Manage vendor payments and outstanding dues.
Track recurring expenses such as rent, utilities, maintenance, supplies, etc.
Help management monitor and control unnecessary expenses.

5. Financial Reporting

Prepare monthly income and expense statements.
Prepare cash-flow and collection reports.
Provide management with regular financial updates.
Track budgets versus actual expenses.
Highlight unusual expenses, pending payments, or financial discrepancies.

6. Compliance & Statutory Responsibilities

Ensure proper maintenance of accounting records and documents.
Coordinate with external accountants/auditors, if applicable.
Support GST, TDS, PF, ESI, professional tax, and other applicable statutory requirements.
Ensure payments and filings are completed within the required timelines.

7. Internal Controls

Maintain proper approval and payment processes.
Ensure cash handling and collections are properly recorded.
Monitor financial transactions to avoid errors or discrepancies.
Maintain confidentiality of financial and employee information.

Required Skills & Qualifications

Bachelor's degree in Commerce, Accounting, Finance, or a related field.
3–5 years of experience in accounts/finance management; school or education-sector experience is an advantage.
Good knowledge of accounting principles and bookkeeping.
Experience with Tally / Tally Prime, MS Excel, or other accounting software.
Good understanding of payroll and statutory compliance.
Strong numerical and analytical skills.
Good communication and coordination skills.
Ability to maintain confidentiality.
Strong attention to detail and accuracy.
Ability to independently manage accounts and meet deadlines.

Preferred Candidate

Experience in school, pre-school, educational institution, or service-based organisation.
Someone who can manage both accounts and administrative financial responsibilities.
Should be organised, trustworthy, proactive, and comfortable coordinating with management, teachers, parents, and vendors.
