EXECUTIVE ASSISTANT TO THE FOUNDER

Role Overview

We are looking for a highly organised, proactive and dependable Executive Assistant to the Founder who can help manage the Founder’s priorities, ensure that tasks are followed through to completion, and keep the administrative and people-related processes of the business organised.This role is ideal for someone who is extremely strong on follow-ups, coordination, documentation and execution. The EA will act as the Founder’s right hand, ensuring that decisions and instructions are converted into clear tasks, assigned to the right people and followed through until closure.The role will also support HR and general administration, including recruitment coordination, employee documentation, attendance, leave records and formal employee communication.

1. Founder’s Office & Executive Support

Manage the Founder’s calendar, priorities, meetings and reminders. Maintain a clear and updated list of the Founder’s pending tasks and priorities. Convert discussions, instructions and ideas into clear, actionable tasks with owners and deadlines. Maintain a live tracker of all important tasks and follow up regularly until completion. Ensure that important decisions made by the Founder are communicated to the relevant team members and executed. Proactively remind the Founder about pending decisions, deadlines and important follow-ups.

2. Team Follow-Up & Execution

Follow up with managers and team members on pending tasks and deliverables. Collect daily EOD reports and ensure they are submitted on time. Maintain a central tracker of pending tasks, owners and deadlines. Identify delays or lack of follow-through and escalate important issues to the Founder. Follow up firmly but professionally to ensure accountability. Ensure that action points from meetings are actually completed rather than simply recorded.

3. Meetings & Documentation

Prepare meeting agendas when required. Take clear meeting notes and record action points. Circulate action points to relevant team members. Track meeting deliverables and follow up until closure. Maintain organised records of important documents, decisions and communications.

4. Recruitment & HR Coordination

Coordinate recruitment with hiring agencies and other recruitment sources. Maintain the candidate pipeline and schedule interviews. Coordinate interview schedules between candidates and management. Prepare and coordinate offer letters, appointment letters, probation and confirmation letters. Maintain complete and organised employee files and documentation. Maintain employee leave and attendance records. Coordinate attendance and payroll-related information with the Finance team. Prepare formal warning letters, disciplinary letters and other employee notices when required. Ensure confidentiality and IP agreements are completed and properly filed.

5. General Administration

Maintain organised company records and administrative documentation. Coordinate with different departments on administrative requirements. Ensure important paperwork, approvals and documentation are completed on time. Support the Founder with ad-hoc administrative and coordination requirements. Keep track of recurring administrative deadlines and ensure nothing is missed.

Performance Will Be Measured On

Percentage of Founder’s tasks driven to completion Timeliness and accuracy of team EOD reporting Follow-through on pending tasks and action points Timeliness and accuracy of HR documentation Recruitment coordination and candidate pipeline management Organisation and completeness of employee records Ability to proactively identify pending matters before they become problems Reduction in the Founder’s day-to-day tracking, reminding and administrative workload

Candidate Profile

3+ years of experience as an Executive Assistant, Personal Assistant, HR Generalist, Office Manager or in a similar coordination role. Experience working closely with a founder, director or senior management is preferred. Exceptionally organised and detail-oriented. Strong follow-through and task management skills. Proactive rather than waiting to be instructed. Comfortable coordinating with multiple departments and following up with senior team members. Strong written and verbal communication skills. Good command of English and Bengali. Comfortable working with Excel/Google Sheets, documentation and basic office systems. Mature, discreet and trustworthy with confidential business and employee information. Able to be polite but firm when following up with people. Comfortable working in a fast-paced, founder-led business where priorities can change quickly.

Ideal Candidate

The ideal person is someone who does not need to be reminded to follow up.They should naturally keep track of what is pending, who is responsible, what the deadline is and whether it has actually been completed. They should be comfortable taking a messy discussion or a list of instructions from the Founder and turning it into a structured execution plan.The most important qualities for this role are ownership, organisation, discretion, urgency and excellent follow-through.

Pay: Up to ₹25,000.00 per month
